Job Description
The Senior Proposal Specialist plays a key role in supporting our business development initiatives by managing the Requests for Proposals (RFP) process. This involves close collaboration with attorneys, business development team members, and subject matter experts across the firm to create compelling proposals. The successful candidate will oversee both complex and straightforward RFPs and partner with the Senior Proposal Manager to develop strategic approaches.
Main Responsibilities:
- Develop responses to formal Requests for Proposals (RFPs), Requests for Qualifications (RFQs), Requests for Information (RFIs), and other proposal opportunities from evaluation through submission.
- Collaborate with attorneys, business development team members, and firm personnel to evaluate, plan, develop, and execute RFPs and proposals.
- Act as project manager for assigned RFPs, ensuring deadlines and key milestones are met.
- Lead internal meetings and serve as a strategic advisor to attorneys and other stakeholders, guiding them through the proposal process and best practices.
- Produce high-quality proposal documents, including selecting relevant content, refining existing materials, and drafting new content as necessary.
- Coordinate and collect data from subject matter experts across departments, including Library, Pricing, Finance, Human Resources, Information Technology, and Risk Management.
- Oversee proofing, final editing, assembly, and submission of proposals to ensure accuracy and consistency.
- Track proposal outcomes and maintain the firm's proposal database.
- Serve as the primary lead on the development and maintenance of the firm's proposal technology, including proposal-generation tools and experience databases.
- Guide the business development team in collecting representative experience and drafting proposal content, including practice group, sub-practice group, and matter descriptions.
- Work on projects related to firm-wide and practice area content used in proposals and pitches, collaborating with attorneys, business development professionals, firm management, and practice group leaders.
- Research industry best practices and market trends related to RFPs and proposal strategies.
- Train business development team members on RFP tools and processes.
Requirements:
- Bachelor's degree in Communications, Marketing, Business, or a related field.
- Five to seven years of experience in proposal development within a law firm, association, or professional services organization.
- Prior experience as a proposal writer or subject matter expert contributing to proposals.
- Strong ability to manage multiple projects simultaneously in a fast-paced environment with shifting priorities and deadlines.
- Excellent written communication, organizational, and project management skills.
- Exceptional editing and proofreading abilities with keen attention to detail.
- Ability to work independently while collaborating effectively with attorneys, business development professionals, and other stakeholders.
- Receptive to feedback and able to incorporate constructive input throughout the proposal development process.
- Proactive in following up with attorneys and business professionals to gather necessary information.
- Proficiency in MS Word, Excel, and PowerPoint.
