We are seeking an experienced Virtual Office Manager with a strong background in tax and accounting to join our team. The ideal candidate will be responsible for managing day-to-day administrative operations, ensuring seamless communication, and supporting a dynamic tax and accounting practice. This is a fully remote position, requiring excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
- Office Administration:
- Oversee daily administrative tasks, including managing calendars, scheduling meetings, and ensuring the smooth running of the virtual office.
- Manage client correspondence via email, phone, and virtual meetings, ensuring timely and professional communication.
- Coordinate and maintain electronic filing systems for tax documents, financial reports, and client records.
- Track deadlines and assist in the preparation and submission of tax filings and reports.
- Client Management:
- Serve as the primary point of contact for client inquiries and requests, providing exceptional customer service.
- Assist with onboarding new clients, including gathering necessary documentation, setting up accounts, and organizing client profiles.
- Maintain confidentiality and security of all client data in accordance with best practices and regulatory standards.
- Operational Support:
- Support the accounting team with day-to-day operational tasks, including managing workflows, monitoring project timelines, and ensuring compliance with deadlines.
- Collaborate with the tax and accounting staff to streamline office procedures and improve efficiency.
- Assist with invoicing, payment processing, and tracking accounts receivable/payable.
