EMPLOYMENT OPPORTUNITY – Executive Assistant
Reporting directly to the Executive Director, the Executive Assistant provides executive support in a one-on-one working relationship.
The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the
Office of the Executive Director. The Executive Assistant also serves as a liaison to the board of directors and leadership team; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
PERFORMANCE RESPONSIBILITIES
- Provide high level administrative support and assistance to the Executive Director and/or other assigned leadership staff;
- Performs clerical and administrative tasks included drafting letters, memos, invoices, reports, and other documents for Executive Director;
- Arranges travel and accommodations for Executive Director;
- Schedules and attends meetings on behalf of Executive Director, taking notes and recording minutes;
- Maintain the Executive Directors calendar ensuring that his/her time is allocated to the highest priorities;
- Handle select matters expeditiously and proactively and follow-through to successful completion;
- Receive incoming communication or memos on behalf of Executive Director, review content, determine importance, and summarize and/or distributes contents to appropriate staff;
- Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
As the board liaison provide a bridge for smooth communication between the Executive Directors office and Board members:
- Confirm that attendees will be present and complete preparatory work, such as agendas and committee reports
- Research and prepare select reports and materials
- Secure offsite locations and support travel logistics as needed
- Ensure compliance with bylaws; prepare minutes

QUALIFICATIONS:
- High school diploma or equivalent; post-secondary degree a plus
- 3 years of experience as an Executive Assistant or a similar role
- Proficient with Microsoft Office Suite (Word, PowerPoint, and Excel)
- A detail-oriented self-starter with prior non-profit experience a plus
- Someone who exhibits sound judgment with the ability to prioritize and make decisions
- Energetic and eager to tackle new projects and ideas
- Comfortable interacting with high-level executives
- A team player capable of cultivating productive working relationships
- Valid driver's license and safe driving record preferred
