Facilities Manager

Summary:
The Facilities Manager oversees and ensures the operations and maintenance of the physical facility and grounds of three locations. The Facilities Manager maintains equipment and supplies, and ensures that the facility is clean, safe, and welcoming for staff and visitors. The Facilities Manager plays a vital role in ensuring the efficient operation and upkeep of facility systems and infrastructure. This role involves performing repairs of organization’s property, preventive maintenance, and general upkeep to create a safe, clean, and functional environment. The Facilities Manager will be responsible for basic electrical, HVAC, and general maintenance. The Facilities Manager establishes and maintains relationships with independent contractors and other third parties.
Essential functions:
1. Maintenance and Repairs:
- Perform routine maintenance tasks such as replacing light fixtures, repairing doors, or fixing plumbing issues.
- Troubleshoot and repair HVAC, electrical, and mechanical systems.
- Address minor structural repairs, including drywall, painting, and carpentry.
2. Preventive Maintenance:
- Conduct scheduled inspections and preventive maintenance on building systems to prevent downtime.
- Identify potential problems and address them proactively.
3. Facility Support:
- Assist with office or furniture moves, equipment setup, and workspace modifications.
- Ensure grounds, parking lots, and outdoor areas are clean and properly maintained.
- Maintain cleanliness of the facility including restrooms and lobby.
- Maintain outdoor areas of the facility including daily emptying trash cans, sweeping entrance ways, clear recycling areas, oversee and perform routine landscaping duties.
4. Emergency Response:
- Respond promptly to facility-related emergencies such as leaks, power outages, or system malfunction.
- Resolve issues effectively to minimize disruption to operations.
5. Compliance and Safety:
- Adhere to safety regulations, policies and procedures and ensure all maintenance activities comply with building codes and standards.
- Maintain proper recordkeeping of inspections, repairs, and service requests.
- Ensuring that the shelter follows all local, state, and federal regulations related to animal welfare and facility management.
- Lead the safety committee meetings for each location.
- Identify and assess potential hazards and notify proper parties immediately.
6. Communication and Coordination:
- Communicate with supervisors, other departments and vendors as needed to ensure smooth and efficient operations. Addresses interdepartmental problems to complete repairs and projects related to areas of responsibility.
- Provide updates on work progress and escalate issues according to procedures, as necessary.
- Adhere to policies and procedures for the facility's operations, maintenance, and safety.
- Manage the facility inventory of equipment and supplies, including creating an ordering system for all departments.
- Integral part of construction and renovation projects, including planning, budgeting, and coordinating with contractors and vendors.
7. Fleet Management
- Conduct daily vehicle checks to ensure that all vehicles are in working order and schedule maintenance, repair, and inspection as required. including registration, vehicle cleanliness, and body repairs.
- Create and maintain daily trip sheets to ensure vehicle use compliance.
Knowledge, Skills, and Abilities
- Knowledge of building systems (HVAC, plumbing, electrical, mechanical, etc.) and troubleshooting techniques.
- Proficiency in using hand and power tools, as well as basic diagnostic equipment.
- Strong critical thinking skills and the ability to work independently or as part of a team.
- Excellent organizational skills and priority multiple projects at one time, while meeting specified deadlines.
Qualifications
- High school diploma or equivalent; additional technical training or certifications (e.g., HVAC, electrical, plumbing) preferred.
- Previous landscaping experience or general physical labor a plus.
- 4 years of experience in building or facilities maintenance.
- Must have and maintain a PA valid Driver’s license.
