Under the direction of the Economic Development Director the Administrative Assistant performs administrative and financial support functions related to meeting planning and preparation, grants, and incentives, and receptionist duties for the County administration office. Excellent customer service skills must be exercised to assist a wide range of people including employees, EDA members, and management. Duties performed require knowledge of general office management. Strong organizational, communication and technical skills are required to perform a wide variety of administrative functions, research and analysis. This position must maintain confidentiality. This work is fast-paced and diverse.
Essential Duties and Responsibilities
- Accurately prepares documents including EDA minutes and agendas, correspondence, spreadsheets, lists, reports, requisitions, memoranda, invoices etc., checks information for completeness.
- Manages and tracks progress of multiple projects and performance agreements in terms of invoicing and reports for economic development projects including incentives, grants, loans, property management plans, existing EDA contracts, bid procurements, and other activities.
- Using financial software, manages, codes and tracks invoices, tenant lease payments, and inventory for the department, EDA, and Ag Board. Invoice companies as needed.
- Set up and attend EDA and Ag Board meetings and take minutes at all meetings.
- Maintain records of lease agreements with EDA-owned property.
- Maintain records of performance agreements for EDA.
- Assists in coordination of business appreciation events and business roundtable meetings.
- Greets all visitors in person and via telephone; ascertains nature of business and responds to inquires or re-directs as appropriate.
- Performs a variety of administrative duties (filing, copying, writing, meeting set up, etc.) to support the Economic Development Authority and County Administration.
- Receives, sorts, processes, and distributes incoming and outgoing mail.
- Meets attendance requirements and maintains the highest level of dependability.
- Consistently demonstrates ability to respond to changing situations in a flexible manner to meet current needs and reprioritizes work as necessary.
- Accomplishes all tasks as appropriately assigned or requested by management.
- Participates in meetings and training as needed.
- Performs special projects as assigned.
Qualifications
Any combination of education equivalent to a high school diploma or general education degree (GED). Supplemental business, office administration, Associate’s degree or equivalent a plus. Two years experience and a stable work history preferred.
Knowledge of office assistance techniques, standard office practices, andprocedures. Ability to operate a multi-line telephone system and standard office equipment. Ability to perform light maintenance on equipment.
Highly organized with ability to multi-task. Ability to handle a high volume of work and varying assignments with accuracy and attention to detail. Ability to read and comprehend instructions and correspondence. Proficiency in business English and spelling. Proficiency in MS Office applications with ability to perform basic word processing, data entry and spreadsheets accurately at a reasonable rate of speed. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to read and comprehend county. State, and federal policies, procedures and programs of limited scope and difficulty.
Strong interpersonal and communication skills. Ability to establish and maintain effective working relationships with employees and the general public. Strong quality and service minded. Ability to work cooperatively in a diverse team and / or independently. Ability to effectively present information in one-on-one and small group situations.
Must possess a valid Virginia’s license, proof of insurance required to drive a personal car on company business, and acceptable driving record.
