POSITION DESCRIPTION
The Executive Assistant will work exclusively with Bedrock’s Senior Vice President, Business Development, Cleveland providing them additional executive administrative support. Flexibility, a sense of urgency, attention to detail, and the ability to manage information at the highest level of confidentiality are critical success factors for this position. This executive assistant position requires high-level administrative expertise with a willingness to pitch in and do what is needed in a dynamic and fast-paced environment.
ESSENTIAL FUNTIONS
Processes and organizes a high volume of internal and external communication which includes mail, email, and voicemail
Identifies priority communications, immediately alerting leader as necessary
Manages email by drafting responses on the leader’s behalf, clearing out unnecessary messages, and distributing them to other team members as necessary
Creates processes to increase efficiency
Coordinates logistics and prepares materials for meetings, calls, and events
Schedules and manages calendars
Creates high level Power Point presentations for leadership to utilize during internal and external meetings
Prioritizes meeting requests, working proactively to identify and mitigate schedule conflicts
Prepares travel arrangements, including the creation of itineraries, air, and hotel accommodations
Prepares monthly credit card statements for the corporate card and facilitates expense report approval from leadership
Facilitates the accounting process by requesting purchase orders and trafficking invoices
Additional personal tasks as needed to support daily efficiencies, such as gift pickup, meal coordination, and the like
Composes routine correspondence and schedules and coordinates team events
Records notes within meetings and communicates to the appropriate parties
Conducts research, compiles data, and prepares drafts for consideration by senior leaders
Acts as a liaison between their leader and common stakeholders
All other duties as assigned
POSITION REQUIREMENTS
Approximately 1-3 years in an Executive Assistant related role where one has been directly supporting executive level leaders (required)
Associates or bachelor’s and/or prior technical experience (preferred)
Professional level verbal and written communications skills
Strong proficiency in the Microsoft Office suite
