Job Summary: We are seeking a motivated and customer-focused Orthodontic Office Call Center Representative to join our team. This role is pivotal in ensuring that all patients and potential clients receive excellent customer service over the phone. You will be the first point of contact for patient inquiries, appointment scheduling, and general office communication, playing a key role in delivering a positive experience for all.
Key Responsibilities:
- Answer inbound calls from patients, parents, and prospective clients in a friendly and professional manner.
- Schedule and confirm patient appointments, ensuring accurate details are recorded in the system.
- Assist with patient inquiries related to treatments, billing, insurance, and office policies.
- Provide patients with information regarding orthodontic services, treatment options, and office procedures.
- Handle and resolve patient concerns or issues in a timely and efficient manner.
- Maintain patient records and update contact information, treatment plans, and appointment details.
- Communicate with the clinical team and administrative staff to ensure patient needs are met.
- Follow up with patients regarding upcoming appointments, treatment reminders, and any necessary documentation.
- Assist with office tasks such as verifying insurance information and coordinating with the billing department.
- Promote the practice’s services, helping to schedule consultations or direct prospective patients to the appropriate team members.
- Maintain confidentiality of patient information in compliance with HIPAA and office policies.
- Handle multiple tasks simultaneously while maintaining attention to detail and ensuring all patients' needs are met.
Qualifications:
- High school diploma or equivalent (required).
- Previous experience in a customer service or call center environment, preferably in a healthcare or dental setting (preferred).
- Strong communication skills, both verbal and written, with a friendly and empathetic demeanor.
- Ability to multitask and manage time efficiently in a fast-paced environment.
- Basic knowledge of orthodontic treatments and terminology (preferred, but training can be provided).
- Proficiency with office software and appointment scheduling systems.
- Strong organizational skills and attention to detail.
- Ability to work independently and as part of a team.
- Bilingual (preferred, but not required).
- Ability to maintain a calm and professional attitude when handling patient inquiries or concerns.
