Law Firm Receptionist/Assistant
In-person position at a law firm in Bellaire, Texas. Full-time (35-40 hours weekly), Monday through Friday, "Flexible schedule" means start time flexible; we have children, too.
Job Summary:
The Receptionist/Assistant will handle front-office operations, provide administrative support to three attorneys, and assist with intake and case management. The firm is tech-forward with a low volume of high value cases. Clients are successful, mature, and appreciate good service. Promotion potential as firm grows. Compensation:
- Salary: $42,000 - $55,000; bimonthly paycheck (24 per year)
- Holidays: 7 office holidays. 2-day Thanksgiving. Office closes 1:00 p.m. Christmas Eve. 1 personal holiday; in addition, up to 2 unpaid days may be taken each year for religious observance
- Vacation: 3 hours accrue per pay period (9 days per year)
- Sick Time: 1.5 hours accrue per pay period (4.5 days per year)
Vacation and sick time subject to 90-day probation period; limited accumulation; year-end buy-back plan
Supervisory Responsibilities:None.
Duties/Responsibilities:
- Answer, screen, and direct phone calls, greet clients, and manage deliveries and vendors
- Schedule and coordinate appointments, meetings (including Zoom), and conference room bookings
- Maintain partner and firm calendars in Actionstep/Outlook (internal) and Google Calendar (shared conference rooms)
- Assist with intake process, gather client information and documents (Actionstep portal or copy service), run conflicts checks
- Assist with Actionstep case management system data entry and NetDocuments electronic file maintenance
- Provide administrative support including scanning, filing, and composing correspondence, memos, forms, and reports according to written or verbal instructions
- eFile pleadings and eRecord deeds
- Sort and file mail, process outgoing mail
- Operate office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment, and liaise with IT support to troubleshoot issues
- Maintain supplies
- Copy, sort, and file records related to office activities, business transactions, and other matters
- Assist with special projects and perform other related duties as assigned

Disciplined at recording time and tasks to Actionstep client matters (timekeeping not required for admin matters)
Education and Experience:
- Associate’s degree (may substitute 4 years administrative or office experience in any field)
- Minimum 2 years prior experience in a law firm or legal department mandatory for all applicants
- Experience at estate planning and probate firm preferred but not mandatory.
Experience in adjacent fields valued, e.g., title company, private banking and trust company, insurance, securities, accounting, and other financial services. Experience in unrelated law practice areas welcome, e.g., personal injury, employment litigation, corporate, or family law.
