Job Summary:
We are seeking a compassionate and experienced healthcare professional to join our team at BellaLuna Behavioral Health & NST Behavioral Health. The Medical Receptionist/ Office Manager will play a crucial role in ensuring the efficient operation of our clinic by providing administrative and patient care support. This role will include tasks such as triaging patient requests, scheduling patient appointments, clerical work, and direct patient care when managing the overall flow of the clinc. As a key member of our clinic, you will work closely with other mental health professionals to ensure the well-being of our patients and contribute to the overall success of our clinic.
Responsibilities
Office Management:
· Greet and assist patients, visitors, and healthcare providers with a friendly and professional demeanor.
· Escort patients to treatment rooms and assist with taking vitals as needed
· Schedule and confirm patient appointments, ensuring efficient use of clinic resources.
· Answer and direct phone calls, taking messages when necessary, and providing information to callers.
· Communicate effectively with patients, healthcare professionals, and colleagues via phone, email, and in person.
· Assist with submitting prior authorization forms and requests to insurance providers and follow up on the status of pending requests.
· Monitor and replenish office supplies as necessary to maintain efficient clinic operations.
· Keep track of inventory and order supplies as needed.
· Maintain the office cleanliness and organization.
Spravato Treatments
- Monitoring and administering Spravato (esketamine) treatments, under the supervision of the attending provider.
- Coordinating all aspects of Spravato treatment, including scheduling, patient education, and follow-up care.
- Monitoring patient vitals before, during, and after treatment, reporting any adverse reactions or complications to the provider immediately.
- Providing emotional support and counselling to patients and their families regarding the treatment process.
- Documenting all patient interactions, treatment details, and patient responses in the electronic health record system.
- Collaborating with the healthcare team to ensure a comprehensive care plan for each patient.
- Staying updated with the latest knowledge and best practices related to Spravato treatment.
- Ensuring all safety protocols and clinical guidelines are adhered to during treatment administration.
Medical Records Documentation
· Accurately input and update patient information, forms, and documentation in electronic health records (EHR) systems.
· Ensure patient records are complete, confidential, and in compliance with privacy regulations.
· Fulfill requests for medical records from patients, other healthcare providers, and insurance companies in a timely and confidential manner.
General Administrative Support:
· Assist with various administrative tasks, such as filing, scanning, and data entry.
· Collaborate with ancillary staff and community resources to ensure seamless clinic operations.
· Stay current with advancements in psychiatric nursing and mental health treatments through ongoing training and professional development.
· Adhere to all relevant legal and ethical standards, including HIPAA regulations, while maintaining patient confidentiality and privacy.
Requirements

· Nursing license (CNA, MA, LPN, or RN) required
Preferred Qualifications:
· Certification in psychiatric nursing (e.g., PMHNP-BC, PMHCNS-BC)
· Experience working in outpatient mental health clinic
