Job Title: EVENT LOGISTICS COORDINATOR
Position Overview:
We are seeking a detail-oriented and highly organized Event Logistics Coordinator to support a wide range of school and community-engagement events, volunteer management, and partnership collaborations. The ideal candidate will be responsible for assisting with the management and articulating the event calendar, providing volunteer management support, assisting with event set-up and strike, and overseeing our tiered event system. Additionally, this role will support outside contracts and partnerships, as well as assist in brand management and communications. This is a full-time, hourly, in-person role that reports to the Event and Volunteer Manager.
Key Responsibilities:
Calendar Management:
Maintain the event calendar for school and Advancement events, ensuring all events are scheduled and communicated effectively.
Coordinate with internal teams to manage event timelines and key dates.
Volunteer Management Support:
Assists with support for volunteer recruitment, scheduling, and coordination for various events.
Act as a liaison for volunteers, providing them with necessary information and ensuring clear communication.
Event Support:
Assist when needed in event set-up and strike, ensuring all logistics are completed according to plan and within the tiered approach guidelines.
Support various stages of the event to include preparation, execution, and breakdown, and providing on-site assistance as needed.
Handle venue arrangements and coordinate with vendors, partners, and internal teams.
Tiered System Management for School Events:
Assist with the management of the tiered system for school events, ensuring that different levels of events are handled with appropriate resources and attention.
Monitor event execution to ensure the tiered system is followed, ensuring smooth event operations from start to finish.
Outside Contract/Partnership Support:
Ensure that external relationships are maintained and communication is clear for successful collaboration.
Monitor the progress of partnerships and support any necessary contract-related details.
Calendar, Systems, and Communications:
Use calendar and event management systems to ensure accurate scheduling, tracking, and communication.
Regularly update internal teams and stakeholders on event progress and key dates.
Communicate event details and status to volunteers, contractors, and partners in a timely manner.
Brand Management Support:
Assist with ensuring all events are aligned with the school’s brand and messaging.
Help support branding initiatives by providing consistency in event signage, materials, and communications.
Assist with maintaining the school’s identity through events.
Qualifications
Qualifications/Competencies:
• 2-3 years of direct event/logistics experience and/or comparable experience.
• Ability to analyze problems and develop action plans.
• Demonstrated interpersonal skills exhibiting tact and diplomacy in establishing and maintaining cooperative, professional relationships with campus administrators, staff members, faculty members, support groups, and donors.
• Uses computer applications such as spreadsheet, word processing, email, calendar, and database software in the performance of the job.
• Demonstrated success working collaboratively as well as independently with the ability to exercise sound judgment and initiative in prioritizing and multitasking in a fast-paced environment.
• Valid Driver’s License
• Strong initiative and coordination skills
• Ability to read and understand floor plans and diagrams
