JOB SUMMARY
The Theatre Technical Coordinator at Meydenbauer Center Theatre is responsible for coordinating the technical needs of clients, equipment and rental items to support a year-round, busy schedule of events. The position is responsible for supporting the technical aspects of Meydenbauer Center Theatre events from the booking process, advancing the event, and being onsite during move in and the technical rehearsal(s). This position is responsible for organizing and preparing technical work orders to support client performance’s and ensure the Theatre technical staff has the information to provide excellent service to our clients. The position is responsible for the inventory and ordering of consumable supplies and scheduling repairs, maintenance, and replacement of technical theater equipment.
ESSENTIAL FUNCTIONS
Client Service
• Promptly responds to technical inquiries, provides information, conducts tours for the technical production of Theatre events and performances.
• Prepares technical service orders that detail cost estimates to prospective clients regarding technical equipment and labor to support production.
• Develops and maintains accurate, up-to-date comprehensive knowledge of Meydenbauer Center Theatre’s technical capabilities, inventories, and updates equipment and price lists for clients.
• Advises clients on Theater specific workplace processes, rules, regulations, IATSE contract agreement requirements, and safety protocols.
• Works with clients to schedule move in, tech rehearsals, and crew timelines in accordance with IATSE contract.
Onsite Technical Coordination
• Coordinates clients move in and technical set. Ensures client stage set, lighting and audio requirements run efficiently and meet the client technical requirements.
• Remains onsite during tech rehearsal to ensure clients are satisfied with production execution.
• Address any changes in equipment or timeline to ensure client needs are met and the schedule meets IATSE work rule requirements. Approves modifications from approved event plans.
• Ensures that safety guidelines are followed by staff and clients.
• Provides onsite coordination for large or complicated move outs. Ensure that the Theatre is left in a condition to support upcoming events or maintenance shifts.
Equipment and Plant Administration
• Provides oversight of small equipment and supplies to ensure inventory levels meet requirements. Orders consumable supplies and equipment with the approval of the Theatre Manager.
• Inspect the stage, wings, catwalks, orchestra pit and back of house spaces on an ongoing basis to ensure they are in safe and “show” condition. Coordinates maintenance work with internal maintenance team, custodial, outside vendors, and IATSE staff members.
• Creates a list of maintenance tasks for IATSE crew and schedules and provides onsite coordination of in-house maintenance shifts.
• Identifies regular and priority maintenance projects and creates and executes internal processes to ensure stage, backstage, office, storage spaces, dressing rooms, and restrooms are well maintained and meet high standards.
Advancing Events and Preparing Technical Work Orders
• Distributes Technical Advancer Form and gathers all technical requirements needed to support client events.
• Attends clients’ pre-productions meetings to confirm and coordinate technical requirements.
• Answer client inquiries via phone or email regarding technical requirements in a timely manner.
• Prepares technical work order for equipment, staffing, and provides detailed instructions for technical crews.
• Submits IATSE crew shift schedules to Theatre Manger to schedule in Paycom.
• Requests Dispatch assignments from IATSE Hiring Hall when needed and with Theatre Manager approval.
• Schedules meetings with IATSE crew as needed to strategize client technical needs.
• When needed, orders rental equipment to support client events.

EDUCATION & EXPERIENCE
• Minimum of three years’ experience in theatre production.
• Working knowledge of line sets, lighting, and sound equipment.
• Working knowledge of stage and theatrical safety standards.
• Other equivalent combinations of education and experience may be considered.
PREFERRED QUALIFICATIONS
• Prior history working on the production side of a full-service performing arts venue.
• Experience working with an IATSE Union Crew.
• Knowledge of, or previous exposure to, stage or technical theatre operations.
• Knowledge of Microsoft Word, Excel and Outlook.
• Prior experience working with customer relationship management or event management software.

WORK ENVIRONMENT
While performing the duties of this job, the employee works indoors in an office environment utilizing standard office equipment including work-provided computer and associated software and peripherals. Additional work is performed in the theatre and stage area of the building. While performing the duties of this job, the employee is exposed to heat and/or cold conditions and may be occasionally exposed to outside weather conditions.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee, with or without accommodation, to successfully perform the essential functions of this job.
While performing the duties of this job, the employee is occasionally required to stand for long periods of time, stoop, kneel, crouch, climb or crawl and may regularly lift and/or move up to 30 pounds and occasionally lift and/or move up to 75 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus. The noise level in the work environment is usually moderate and at times loud.
POSITION TYPE / WORK SCHEDULE
This is a full-time position. Days and hours of work will average 40 per week and vary according to the theatre event schedule; they will include some regular office hours as well as variable days and hours to provide oversight of activities related to performances and events. The most common schedule will be Wednesday through Sunday. Will be required to work a combination of daytime hours, evenings, weekends and/or holidays.
