Sales Coordinator
Purpose
The Sales Coordinator reports to the Business Development Manager. This individual will facilitate the sale of cabinets beginning with the pre-production sales life cycle (initial client interactions to formal bids) and subsequent contracts and documentation. This position will require extensive and clear communication between all internal and external interested parties, resulting in successful and accurate execution of cabinet sales.
Key Responsibilities
Sales Operations and Communication
- Customer Resource Management
- Utilize CRM tools to input all bid invitations, documents, and client data
- Solicit cabinet project opportunities as directed by sales team
- Create and provide sales collateral
- Data and Technology
- Creatively look to leverage data and technology to help sales teams be more effective
- Assist sales teams with dashboards and forecasting
- Look for opportunities to improve current processes or resources
- Relationship Management
- Maintain a focus on client satisfaction leading to future sales/contracts
- Ensure open communication channels with clients on active projects
- Field phone calls and emails from clients
Project Estimating
- Project Review
- Create files and download necessary bidding documents
- Review specifications and architectural plans
- Determine feasibility and accept/decline to submit a bid
- Bidding
- Detail architectural plans, create a unit matrix, perform cabinet take offs
- Utilize pricing tools to prepare proposals
- Interact with the client on any questions, clarifications, RFI’s, or changes
- Determine opportunities for value engineering suggestions or alternate pricing inclusions
- In coordination with the sales team submit estimates/proposals and update as needed
Internal Coordination
- Operations Coordination
- Prepare project specific documentation for internal operations teams to review
- Coordinate and communicate any questions or changes with the sales team and client
- Verify material and labor cost/pricing accuracy
- Review proposed project timeline
- Facilitate introductions of internal operations and client team members
Contracts and Submittals
- Contracts
- Assist the sales team in all necessary aspects required to be awarded a cabinet sales contract
- Review contract documentation for accuracy of scope, product, and pricing
- Submittals
- Coordinate with designers/drafters to produce shop drawings/submittal documents
- Collect relevant data on appliances, finishes, etc., as needed to complete shop drawing
- Ensure shop drawings accurately represent all contract documents and clients’ communications of details and specifications
- Create and transmit a submittal package, oversee changes as required, and obtain client approval of submittal documents
Additional job duties may be assigned temporarily or permanently as necessary
Qualifications
Required Education/Experience
- Proven experience as a Project Coordinator, preferably in the manufacturing or construction industry
- Strong understanding of project management principles and methodologies
- Ability to communicate verbally, written words, mathematically, and conversationally to achieve desired effect
- Strong computer skills and systems understanding with experience utilizing site drawing software
- Relationship building skills with internal and external clients for high performance
- Strong attention to detail and processes
- Problem seeking, solving/analysis
