The Receptionist serves as the first point of contact for clients, visitors, and employees, providing exceptional customer service while managing front desk operations.
This role requires strong communication, organizational skills, and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Answer, screen, and forward incoming phone calls and direct them to the appropriate departments.
- Provide basic and accurate information in-person and via phone / email.
- Maintain office security by controlling access to the premises.
- Receive, sort, and distribute daily mail and deliveries.
- Manage appointment bookings and maintain office calendars.
- Maintain the cleanliness and organization of the reception area.
- Handle and resolve customer inquiries or complaints efficiently.
- Coordinate office supplies and ensure the front desk is fully stocked.
Skills, Knowledge and Expertise
- High school diploma or equivalent; associate's degree preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with office equipment (e.g., fax machines, printers).
- Excellent verbal and written communication skills.
- Strong customer service orientation.
- Ability to be resourceful and proactive when issues arise.
