Job Summary

The Payroll Clerk will manage and process payroll for all employees across the BeLoved Companies. The Payroll Clerk will work directly with the HRIS system to ensure accurate and timely payroll; maintaining payroll records, complying with state and federal payroll regulations, and ensuring all reoccurring payments are on track.

Job Duties and Responsibilities

Specific to Position:

  • Process payroll accurately and on time across company divisions.
  • Ensure compliance with Oregon state wage laws, overtime rules, and federal payroll regulations.
  • Verify timekeeping records and resolve any discrepancies.
  • Calculate wages, deductions, and benefits, including taxes, garnishments, and voluntary contributions.
  • Collaborate with HR to ensure proper documentation for new hires, terminations, and employee changes.
  • Communicate with managers at each worksite regarding payroll deadlines and updates.
  • Prepare payroll reports for management and accounting teams.
  • Handle employee payroll inquiries and resolve any payroll-related issues.
  • Prepare and distribute pay checks or direct deposits.
  • Assist with quarterly and annual payroll tax filings.
  • Maintain accurate payroll records and employee files.
  • Assist with audits and compliance reviews as needed.
  • Track and calculate additional compensation such as bonuses, reimbursements, commissions, etc.
  • Understand the process for mileage and expense reimbursements.
  • 15. Other duties as assigned.

    • Demonstrates professionalism at all times by respectful interpersonal relationships with employees, patients, families, caregivers, referral sources, contractors, and community members.
    • Demonstrates effective time management skills by: Coordinating activities to achieve maximum productivity and efficiency, willingness to adjust or revise work schedules as requested, seeking prior authorization for overtime, adhering to the policy for make-up time, completing assigned projects within specified time frames.
    • Participates in Performance Improvement activities when requested.
    • Works well independently and within the Interdisciplinary Team structure.
    • Promotes a team approach through cooperation, mutual respect, flexibility and dependability.
    • Ensures all regulatory standards for State, Federal and CHAP are met.
    • Assumes responsibility for on-going personal development and continuing education.
    • Completes monthly and annual trainings as assigned by the Governing Board, Director of Human Resources and/or Administrator.
    • Creates opportunities for new referrals and referral relationships when representing the company in the community.
    • Supports the philosophy, objectives and mission of BeLoved Healthcare.
    • Stays current with all mandatory agency requirements.
    • Attire to be consistent with the BeLoved Healthcare dress code policy.

    Physical/Safety Requirements:

  • Participates in emergency procedures, including disaster drills.
  • Operation of equipment in a safe manner and shares responsibility for communicating safety violations or unsafe practices to management.
  • Equipment Used: General office equipment (telephone, copy machine, computer, fax machine) and motor vehicles.
  • Category 2 for potential exposure to blood/bodily fluids.

  • Utilizes appropriate PPE, as needed.
  • Follow the designated plan of action in the event of a fire or other emergency/disaster/

  • Must have the strength and endurance required for sitting for lengthy periods of time.
  • Must possess sight/hearing/speech senses or use prosthetics that will enable these senses to function adequately so that the requirements of this position are fully met.
  • Use appropriate body mechanics as needed for personal use.
  • Utilize appropriate basic office equipment.
  • Qualifications and Experience

    • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required to perform this job.
    • Associate’s degree or bachelor’s degree in accounting, finance, or related field
    • 3 years of experience of payroll processing, preferably in a multi-site environment
    • Proficiency in payroll systems such as QuickBooks, TRAXPayroll, Paychex, Paycom, or similar
    • Previous experience in healthcare preferred
    • Strong proficiency in Microsoft Office, especially Excel.
    • Experience and familiarity with Oregon wage and labor laws and multi-state payroll processing.
