We are currently looking for a highly motivated and enthusiastic Administrative Assistant to join our Corporate Development team based in Miami Lakes, FL.
The role of Administrative Assistant will include working closely with the Corporate Development Director and other members from other departments to ensure a consistent and cohesive approach to managing department projects.
Key Responsibilities:
· Provide high-level assistance to Corporate Development Director as needed.
· Manage the Director’s credit card receipts and expenses paperwork as required by accounting department.
· Coordinate Director’s direct reports to ensure timely submission of their corporate credit card receipts and expenses.
· Provide reception assistance when necessary (lunchtimes and vacation etc.).
· Support the housekeeping team, and manage supplies including monitoring stock levels, purchasing and distribution of break room, vending machine, and housekeeping supplies.
· Assist with corporate travel arrangements and administrative assistance to the accounting department, as needed.
· Provide guidance about administrative procedures to employees (i.e., credit cards expenses process in Ramp or current expense system.
· Organization and execution of in-house staff events such as staff meetings, Board Meetings, monthly pick-me-up events etc.
Qualifications and Skills
- A college degree or certification is preferred
- Previous experience as administrative assistant in an office environment
- Experience with corporate event planning and coordination is a plus
- Ability to learn various software programs to be able to manage company systems. Fluency in MS Office programs
- Excellent verbal and written communication skills
- Organization skills, deadline and detail-oriented
- Some travel may be required to support some departments projects
