Job Summary:
The Portfolio Group Coordinator keeps the Portfolio Group review and decision-making process on track and ensures that the information is captured and shared with all appropriate Ben Franklin team members. From early meetings with prospective clients, through funding applications and reviews, client monitoring, and presentation material for our Board of Directors.
Responsibilities:
· Schedule and attend all Portfolio Group meetings, company presentations, and regional quarterly review meetings, and ensure that appropriate materials are ready.
· Document all information and decisions from Portfolio Group meetings, company presentations, and quarterly regional review meetings, and ensure they are shared with other appropriate Ben Franklin team members.
· Work with the portfolio group to gather and track appropriate information for client proposals.
· Manage our proposal review process by working with the Associate Manager for Client Development to identify, confirm, and follow through with external and internal reviewers.
· Create the investment book for all proposals under review.
· Coordinate the receipt of all necessary documents in preparation for board meetings and funding approvals.
· Maintain data on active portfolio clients.
· Provide support between the Portfolio Group team and the Operations Group to keep proposals, contracts, and monitoring on track.
· Continually review Salesforce data to ensure necessary information is entered and help develop and implement new ideas for capturing and presenting information for appropriate Ben Franklin team members.
· Provide support for grant writing projects.
· Provide support for preparation of state proposal.
· Perform other duties as assigned.
Required Skills/Abilities:
· Strong interpersonal skills and demonstrated ability to form business relationships.
· Microsoft Office experience necessary.
· Salesforce experience preferred.
· Strong communication skills including writing and ‘listening to understand’.
· Ability to organize multiple projects and processes simultaneously.
Education and Experience:
Associate or bachelor’s degree in project management or a business field is preferred. Five years of experience as an administrative coordinator or project manager in professional business setting required.

Ben Franklin Northeast follows a hybrid work model, with time split between our Bethlehem office and remote work. Occasional travel outside the Lehigh Valley region is required.
