Administrative Assistant - Collections
Principle Duties & Responsibilities
- Work closely with cash receipts team and tenant account representatives to ensure funds are appropriately applied to tenant accounts.
- Contact tenants via phone or email to obtain accurate details and payment allocation.
- Assist with monitoring of open rent reports and open accounts receivable report to determine tenant lapse in payments for rent, common area maintenance (CAM), taxes, utilities, etc. Review tenant billing and payment history and update tenant lease payment records.
- Support tenant account representatives in their review of tenant inquiries. Prepare correspondence where appropriate. Reconcile amount to be paid on tenant accounts. Provide historical payment data to tenants and revise tenant invoices when needed.
- Perform computer input into Outlook, AS400, MRI and Tenant Portal of notes taken and information provided in discussion with tenants. On a timely basis, review appropriate reports regarding payments agreed to by tenants or review scanned check system to identify if payment has been made.
- Report when tenants are past due. Contact tenants behind in lease payments to collect overdue funds related to rents, ancillary charges, taxes, etc. as directed by tenant account representatives.
- Communicate with billing department and lease administration department to ensure that changes made in payments and calculations are documented for future billings.
- Observe and take detailed notes during review of account status of problem tenants with tenant account representatives and lease agents/management.
- Fill in, as needed, with cash receipts team to support cash application of tenant receipts.
- Assist and complete special project as required.
Knowledge, Skills and Abilities
- 1 years’ experience in account collections or a field related to accounting and customer service.
- 1 years' experience in data entry.
- Excellent organizational and communication skills (written and verbal) with a high level of attention to detail and professionalism.
- Computer literate preferably in MS Word/Excel.
Pay Range: $22.00 - $26.00 Hourly

experience and skillset of the candidate
