Position Summary:
The Administrative Assistant plays a key role in supporting our sales and marketing teams by helping to achieve targets and ensuring excellent customer service. This position handles a variety of administrative tasks, responds to customer inquiries, and assists with sales and marketing-related activities. Additionally, the Admin Assistant serves as the first point of contact for visitors and callers, maintaining a welcoming and professional atmosphere. Responsibilities include managing the front desk and providing general administrative support. The ideal candidate is personable, highly organized, detail-oriented, efficient, and able to multitask in a fast-paced environment with strong communication skills.
Key Responsibilities:
- Greet visitors, clients, and employees in a warm and professional manner.
- Manage the reception area to ensure a welcoming and organized environment.
- Assist in creating and distributing marketing materials.
- Collaborate with the marketing team to execute promotional campaigns and events.
- Assist the sales and marketing teams with daily administrative tasks such as preparing reports, managing schedules, and coordinating meetings.
- Prepare and format documents, reports, contracts, and presentations as needed by the teams.
- Maintain accurate records and data in relevant databases and CRM systems.
- Assist the sales team in generating leads and qualifying prospects.
- Monitor and generate reports on sales performance metrics and trends.
- Respond to customer inquiries and provide accurate information about the company's products and services.
- Coordinate meeting logistics, including scheduling and preparing materials.
- Organize appointments, meetings, and deadlines for the teams.
- Help plan and execute events, trade shows, and conferences.
- Assist with responses to requests for proposals (RFPs).
- Handle sensitive information with discretion and maintain confidentiality.
- Stay informed about the company's products and services to provide accurate information to customers.
- Participate in professional development.
- Other duties as assigned.
Education and Experience:
- High school diploma, GED, or equivalent combination of education and experience.
Knowledge, Skills, and Abilities:
- Excellent time management, organizational, and multitasking abilities.
- Proficiency in Microsoft Office Suite
- Familiarity with project management and CRM tools (e.g., Monday.com, HubSpot).
- Strong communication skills (oral and written).
- Adaptability to a fast-paced, deadline-driven environment.
- Ability to identify process improvements and enhance efficiency.
- Strong interpersonal skills for effective collaboration.
- Solid problem-solving skills and the ability to manage multiple projects simultaneously.
