What are the responsibilities and job description for the Implementation Specialist position at Benecard Services Inc.?
JOB SUMMARY: Under the direction of the Operations Manager, the Implementation Specialist will implement new clients and plan design changes for existing clients.
- Implement new clients
- Initiate implementation meeting with broker and/or client to review timeline and required documents.
- Create implementation meeting presentation and materials
- Attend finalist presentations when applicable, kick-off implementation meetings, member open enrollment meetings, whether on site at client’s office and/or via remote (i.e. Zoom, Webex)
- Review plan documents, proposal, and rate sheet to ensure accuracy of all documents and address any inaccuracies with underwriting, sales rep and proposal writing to have corrected
- Draft set up sheet to PBF
- Review/format initial eligibility in Excel and coordinate with PBF or NVA Eligibility Dept to enroll members in the system
- Prepare member letters/materials for client/broker review and approval
- Load brochures and SBCs to the Matrix and website
- Request Online Eligibility Access (OLA) credentials
- Format and load deductible/maximum out of pocket files
- Create Call Center sheet
- Coordinate welcome package with Member Services Representatives
- Coordinate initial ID card mailings with PBF
- Review and validate accuracy of claim tests
- Distribute final documentations to internal departments
- Schedule and conduct client/broker transition call with the assigned Client Relations Manager and Member Services Representative
- Update new client tracking log and distribute weekly to Client Services

Implement plan changes to existing clients
- Review green sheet provided by Client Relations Managers
- Update the setup sheet with the requested changes and submit to PBF
- Claim test plan changes and verify information has been updated in the Benecard System
- Log plan changes in the Client Organizer
- Update brochure/SBC in Matrix or website
- Coordinate member mailings with PBF when applicable
- Update/maintain the Client Organizer

Responsible for updating/maintaining the PBF Matrix and sending Matrix update notifications to the PBF
- Update/maintain most up to date brochure and ID card mailing instructions

Responsible for updating/maintaining the SBCs
- Loading updated SBCs to the Benecard website
- Sending special/urgent ID card requests to the PBF
- Conduct PBF/BCS Implementation calls
- Review new client set up status with PBF and be held accountable to ensuring new client is implemented accurately, timely and initial ID card mailings mailed prior to start date
- Provide support role to resolve PBF related program and service issues
- Request OLA credentials to Help Desk and provide access info to Member Services Representatives
- Review weekly client eligibility file feeds and send error reports to brokers and/or clients
- Assist with clinical email requests and high cost emails
- Assist with RDS related matters such as sending interim cost reports to Client Relations Managers
- Send special mailing requests to PBF as needed
- Coordinate with Client Relations Managers to create maximum out of pocket file for all clients each year and submit to PBF
- Other duties as assigned
Education and/or Experience:
- Must have high school diploma; College degree preferred
- Minimum of two years related Account Management and/or Customer/Member Service Experience
Language Skills:
- Must be able to speak and write effectively in the English language
Other Skills and Abilities:
- Working Knowledge of Microsoft Office
- Excellent Communication & Writing Skills
- Ability to maintain several databases and multitask
- Capability to manage time effectively
Physical Demands:
- Ability to travel up to 25% (must have reliable transportation)
