We are actively seeking an Travel Orthodontic Treatment Coordinator to join our team. The Ortho Treatment Coordinator (OTC) will spend time with patients seeking Orthodontic care and answer questions related to planned treatment and corresponding fees. Ensuring that patients leave well informed with all their questions answered about treatment, insurance and payment, the OTC will promote a positive patient experience. Job Summary: 

The Treatment Coordinator is an important face and representative of our team. A Treatment Coordinator's main objectives are to schedule appointments with interested individuals interested in receiving orthodontic care, work with doctors to communicate treatment plans, help patients afford treatment, and provide exceptional customer service so patients feel supported on their smile journey.  


Responsibilities

Essential Functions and Primary Responsibilities: 

  • Obtain high treatment acceptance by explaining cost of treatment, insurance coverage, and finance options 
  • Patient Communication and Education: Explain treatment plans and timeline to patients and families in clear, simple terms. Address concerns and answer questions.  
  • Financial Coordination: Present financing options and assist patients with affording care. Educate patients on insurance coverage. Ensure timely payment collection and manage outstanding balances 
  • Administrative Duties: Schedule appointments. Maintain detailed patient records (medical history, treatment in progress). Submit paperwork to insurance  
  • Technical Assistance: Operate X-ray machines and assist with clinical tasks when required (if certified)  
  • Contact patients/guarantors proactively regarding fees due and to confirm the appointment 
  • Explain, promote, and adhere to company payment policies and procedures 
  • Track patient financial commitments along with any required follow up to ensure patient obligations are met 
  • Solicit referrals from patients post treatment while at the same time tracking satisfaction with work provided 
  • Performs to the highest integrity by adhering to all government regulations, company standards, and company compliance programs 
  • Other duties as assigned. 

 


Qualifications

Qualifications: 

  • Education/Experience: 
  • High School diploma or GED is required 
  • A minimum of 1year orthodontic or equivalent experience is required  
  • Required or Specialized Skills: 
  • Excellent communication and interpersonal skills   
  • Previous sales experience. Comfortable discussing costs and payment plans with patients  
  • Responsive to patients (follow-up w patients, answer questions) 
  • Advanced:  Communication skills, English, grammatical proficiency 
  • Computer Proficiency comfortable in the Microsoft Office Suite 
  • Understand and able to effectively communicate techniques utilized in the Orthodontic field 
  • Excellent written and oral communication skills 
  • Preferred Skills: 
  • Work experience as a Treatment Coordinator in a dental practice 
  • Minimum of 3 years of customer experience  
  • General knowledge and understanding of orthodontic treatment plans and care 
  • High level knowledge of Orthodontics and associated treatment planning  
  • Have a detailed knowledge of dental insurances, service limits, PPO, self-pay collections, and financing options 
  • 3 years experience in dental and/or orthodontic environment  
  • X-Ray certification and CPR certification  
  • Bilingual, Spanish is a plus 

 

Physical Requirements: 

The nature of work requires the ability to: 

  • Effectively communicate and exchange information with patients, their parents, clinicians, and staff 
  • Operate a computer, keyboard, and standard office equipment 
  • Lift/carry up to 30 lbs and be able to twist, turn, bend, and stoop 

The majority of work performed is in a clinical environment which may require availability for extended hours during peak periodsWork hours may change to meet business needs.
