About the Role:
As an Accountant Assistant, you’ll play a crucial role in keeping our financial operations running smoothly. From processing invoices and reconciling expenses to ensuring timely customer payments and collections, your expertise will directly contribute to the efficiency of our accounting processes. This position offers the opportunity to work independently while also collaborating with other departments to ensure accuracy and compliance.
What You’ll Do:
◊ Accounts Payable & Receivable
- Process A/P, including vendor setup, invoice verification, and timely payments.
- Manage A/R, including data entry, revenue posting, and collections.
- Generate cash expectation reports and follow up on outstanding payments.
◊ Financial Reporting & Compliance
- Process and reconcile invoice payments and expenses within the correct month.
- Ensure vendors comply with COLI (Certificate of Liability Insurance), EDD reports, and credit letters.
- Assist with month-end closing, including journal entries and reconciliations.
- Support annual 1099 reporting and other financial documentation requirements.
◊ Administrative & Support Functions
- Provide backup support for front office phone lines.
- Assist with document control, including scanning, sending drawing packages, and maintaining Data Books.
- Assist in quote preparation, including file creation and letter generation.
What We’re Looking For:
✔ Accounting Knowledge: Strong understanding of bookkeeping procedures and AP/AR processes.
✔ Technical Skills: Proficiency in MS Excel (advanced formulas, mail merge) and strong 10-key data entry accuracy.
✔ Attention to Detail: Ability to identify numerical discrepancies and ensure financial accuracy.
✔ Time Management: Ability to manage multiple priorities in a high-volume, fast-paced environment.
✔ Professional Integrity: Commitment to confidentiality and ethical financial practices.
What You’ll Need:
- Minimum of one (1) year experience as an Accounting Assistant, Accounting Clerk or similar role, in an office environment
- Ability to work with minimal supervision while maintaining efficiency
- AA/AS degree in Accounting, Finance or a related field, preferred
