What are the responsibilities and job description for the Front Desk Assistant position at Berkshire Immigrant Center?
Berkshire Immigrant Center seeks a part-time Front Desk Assistant with a desire to support immigrant communities by ensuring that they feel welcome and informed. This in-person role is for a bilingual (English/Spanish) individual who thrives in a people-centered environment and can effectively organize and manage inquiries that come through phone, email, and in-person.
As Front Desk Assistant you will be responsible for greeting clients, answering phone calls and emails, providing information about BIC’s services and local resources, tracking and maintaining notes, handling client information and payments, maintaining the office, and supporting volunteer and event needs.
This is an hourly position requiring a minimum of 20 hours per week, typically scheduled Monday through Friday between 8:30am and 6:30pm. Occasional evening and weekend work may be required for special events.
Responsibilities:
- Warmly greet clients and respond to phone calls and emails from the general public in a professional and courteous manner.
- Provide individuals with information about BIC’s services and available local resources.
- Track and maintain accurate notes and information in an organized and efficient manner.
- Support the Intake Coordinator by collecting client information and processing payments.
- Support case workers by handling client document drop-offs/pick-ups.
- Receive and sort mail, including scanning checks and notices.
- Open, close, and maintain the office.
- Assist the Executive Director with volunteer needs, including translation requests.
- Assist with preparation for in-person or online events, including presentations, workshops, clinics, and the annual benefit.
- Represent BIC at events by engaging with attendees and supporting event activities, including BIC’s annual benefit.
Qualifications:
- Bilingual in English and Spanish required*.
- Customer service experience or minimum of 1 year of relevant experience preferred.
- Strong interpersonal skills, particularly when working with diverse populations.
- Proficient in Google Suite and comfortable using other digital platforms with minimal guidance.
- Comfortable managing and prioritizing communications across phone, email, and in-person interactions.
- Careful attention to detail and accuracy in work.
- Capable of handling confidential information with discretion.
- Works well independently and as part of a team.
- Comfortable sitting at a desk and working on a computer for prolonged periods.
- Familiarity with local resources and organizations a plus.
- Background in legal, immigration, and/or international relations a plus
*Required to effectively communicate with the high volume of Spanish-speaking individuals we serve.
