Berkshire Immigrant Center seeks a part-time Intake Coordinator to facilitate the seamless coordination of client appointments, ensuring a positive and efficient experience for all. This hybrid position is ideal for someone who is highly organized, has a strong attention to detail, and enjoys collaborating with teammates to ensure everything runs smoothly.
As Intake Coordinator you will be responsible for returning phone calls and emails related to consultations and appointments, scheduling and confirming consultations and appointments, maintaining accurate client records, and handling client information and payments.
This is an hourly position requiring 20 hours per week, typically scheduled Monday through Friday between 9am and 5pm. Occasional evening and weekend work may be required for special events.
Responsibilities:
- Respond to phone calls and emails from the general public about scheduling consultations and appointments in a professional and courteous manner.
- Schedule consultations and appointments while ensuring accuracy and efficiency.
- Contact clients to confirm, cancel, or reschedule appointments in a timely manner.
- Collect client information and processing payments.
- Track and maintain accurate notes and information in an organized and efficient manner.
- Add and update client information in the client database to keep records current.
- Represent BIC at events by engaging with attendees and supporting event activities, including BIC’s annual benefit.
Qualifications:
- Customer service experience or minimum of 1 year of relevant experience preferred.
- Strong interpersonal skills, particularly when working with diverse populations.
- Confident in making phone calls and requesting information.
- Proficient in Google Suite and comfortable using database software and other digital platforms with minimal guidance.
- Organized with the ability to handle multiple tasks and prioritize as needed.
- Attentive to detail and accuracy in work.
- Capable of handling confidential information with discretion.
- Works well independently and as part of a team.
- Comfortable sitting at a desk and working on a computer for prolonged periods.
- Bilingual in English and Spanish a plus.
- Background in legal, immigration, and/or international relations a plus.
*Required to effectively communicate with the high volume of Spanish-speaking individuals we serve.
