The Payroll & Administrative Specialist Role:

We are seeking a motivated and detail-oriented Payroll & Administrative Specialist to join our team. The ideal candidate will be responsible for providing general administrative support, including answering phones, greeting guests, and assisting with payroll tasks, specifically focusing on prevailing wage payroll. Additionally, this position will offer support to the sales team by handling client inquiries and assisting with takeoffs. The Payroll & Administrative Specialist will be a key team member in ensuring smooth office operations and client satisfaction.

What You Bring:

  • High school diploma or equivalent
  • Minimum of 2 years of experience in an administrative support or office assistant role.
  • Experience with payroll processing, particularly prevailing wage payroll, is highly preferred.
  • Strong communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Detail-oriented with excellent organizational and multitasking abilities.
  • Ability to work effectively in a team environment and handle sensitive information with discretion.
  • Ability to manage time effectively and prioritize tasks.

Requirements

Key Responsibilities:


Administrative Support:

  • Answer and direct incoming phone calls, providing exceptional customer service.
  • Greet and assist guests, ensuring a welcoming and professional environment.
  • Maintain office supplies and ensure all necessary materials are available for team members.
  • Perform general clerical tasks, including data entry, filing, and document organization.
  • Assist with scheduling meetings and managing calendars as needed.

Payroll Support:

  • Provide backup support for the payroll process, specifically handling aspects of prevailing wage payroll.
  • Ensure accuracy and timely processing of payroll data in compliance with relevant regulations and company policies.
  • Assist in maintaining employee records and ensuring all payroll documentation is complete and up to date.
  • Respond to payroll-related inquiries from employees and management.

Sales Team Support:

  • Assist the sales team by fielding client inquiries via phone and email, providing timely and accurate information.
  • Help prepare materials and documents for client presentations and meetings.
  • Support takeoff preparation for bids and proposals, working closely with the sales team to ensure accurate measurements and estimates.
  • Assist with follow-up communication with clients to ensure a high level of customer service.
