The Events Coordinator is responsible for organizing, planning, and executing a variety of events, ranging from meetings to large social gatherings. This role involves managing all logistical aspects, including venue selection, vendor coordination, budgeting, scheduling, and ensuring seamless event operations.

Bachelor’s Degree in Marketing, Communication, Public Relations, Public Administration, Business Administration or related field plus one (1) year experience as a special event coordinator. Any equivalent combination or related education and/or experience may be considered for the above requirements.

BEHAVIORAL HEALTH SERVICES
Under the general direction of the Behavioral Health Services Director, Provide Behavioral Health Services with the development of special events. Responsible for special events programming facilitation.
Duties And Responsibilities
- Plan, develop, coordinate, and/or oversee County events which include but are not limited to: District Community Events, Signature Events, Grand Openings, Public Meetings, Groundbreakings, Ribbon Cuttings, Dedications, and Community clean-up, concerts and other various cultural, historical, tourism initiatives.
- Recruit and manage events vendors to include but not limited to food/food trucks, artisan/arts and crafts, artists, entertainment/performers/inflatables, growers, and review permits, licensing, insurance compliance per county and state regulations. Maintain vender database.
- Coordinate with vendors, exhibitors and stakeholders during event planning; oversee volunteer activity during event and event planning activities. Manage event set-up, tear-down and follow-ups; establish standardized event procedures and train staff into properly executing them.
- Coordinate, monitor, and execute permits and agreements with facilities, rental companies, vendors, performers, contractors. Assist in the administration of purchasing, contracts, revenue collection with public and private agencies and businesses as the pertain to special events.
- Confer with departments regarding projects to include budget, background information, objectives, presentation approaches, styles, and other production factors. Serve as a consultant to departments for event production.
- Work on site for all events; coordinate event set-up, logistics, load-in/clean-up/tear-down; conduct post event evaluations to determine how future events could be improved.
- Provide consultative and project lead on assigned special projects related to the specific function of Bernalillo County.
- Serve and staff Bernalillo County Special Event Review Committee; serve as staff liaison between public/private event producers for Bernalillo County Departments supporting the even to ensure all elements of event are identified, assigned properly management, and carried out day of event.
- Develop relationships, collaborate, and attend meetings with outside organizations to produce beneficial partnerships for ongoing and new programming.
- Attend other events for networking purposes; outreach; growth of vendor/artisan database.
- Supervise lead and direct personnel in specific project areas as necessary.
- Prepare and provide monthly department reports and presentations to pertinent personnel.
- May be required to work evenings and weekends.
- Incumbent(s) in this classification may handle sensitive and/or confidential records, plans, documents or decisions that require maintaining confidentiality of sensitive information.
- Any one position may not include all duties listed. However, the allocation of positions will be determined by the amount of time spent performing the essential duties listed above.
BEHAVIORAL HEALTH SERVICES
- Plan, develop, coordinate, and/or oversee Behavioral Health Services events which include but are not limited to employee appreciation monthly events, managing stakeholder meetings, and ensuring necessary provisions are available for said gatherings.
- Oversee specific onsite events such as Recovery Month, Mental Health Awareness month, First Responders' Thanksgiving Meal, and staff holiday parties.
- Coordination with all service providers.
- Attend offsite events such as tabling events, South Valley Pride Day, the Pride Parade, the State Fair, and the Twinkle Light Parade.
- Work on site for all events; coordinate event set-up, logistics, load-in/clean-up/tear-down; conduct post event evaluations to determine how future events could be improved.

- Employee must successfully complete the post-offer employment medical examination and background investigation.
- Employee must comply with the safety guidelines of the County.
- Employee must complete required FEMA training(s) as assigned to position.
- Employee must complete required Supervisor classes if applicable.
- Must have a valid New Mexico driver’s license by employment date and maintain a valid NM driver’s license while employed in this position.
- Most essential job duties are performed indoors in climate-controlled environment.
- Primary work surface is even, dry, carpeted or tiled floor.
- Works alone primarily, with or without directions. Works with a group at times, and with a select team at times.
- May be required to work evenings and weekends.
- May be required to work outside during all months, all types of weather.
- May be required to stand or walk during event production for up to 16 hours in one day.
- Telephone, calculator, computer, fax machine, and copy machine are used in performance of essential job duties.
- Various forms of paperwork are handled in performance of essential job duties.
