Job Title: Accounting Administrative Assistant
Overview:
This non-exempt position is responsible for supporting various administrative, accounting, and office functions, including accounts payable, accounts receivable, and financial record keeping.
Key Responsibilities:
- Answer, respond to, and direct incoming phone calls.
- Call customers for appointment scheduling and to gather feedback.
- Contact vendors, subcontractors, and government agencies as needed.
- Maintain office files, supplies, and other administrative materials.
- Assist in business development initiatives as required.
- Perform general clerical duties, including preparing documents and handling office materials.
- Enter bills and receipts into QuickBooks.
- Assist in creating Estimates & Work Tickets.
- Create and manage purchase orders.
- Accept customer payments.
- Research, sort, compile, and track invoices, checks or issues related to accounts and payments.
- Reconcile accounts with vendors and clients.
- Assist in month-end closing activities and ensure timely financial reporting.
- Use Microsoft Office Suite (Word, Excel, Outlook) daily for various tasks, including creating documents and email correspondence.
- Be comfortable working with technology and systems, ensuring smooth and efficient office operations.
Skills & Qualifications:
- At least two (2) years of professional experience involving accounting, administrative support, and organizational procedures. Strong organizational skills and attention to detail.
- Tech-savvy with proficiency in Microsoft Office Suite and QuickBooks.
- Excellent communication skills, both written and verbal.
- Ability to handle multiple tasks and work independently.
- Prior experience in accounting or administrative support is required.
- Must be able to work well with others and adapt to a variety of tasks as needed.
