Job Summary:
The Dispatcher & Office Coordinator plays a critical role in ensuring efficient scheduling and dispatching of transportation services while maintaining smooth office operations. This position is responsible for coordinating vehicle assignments, communicating with drivers and clients, and handling administrative duties to support daily business functions.
Responsibilities:
- Schedule and assign transportation requests based on location, driver availability, and client needs.
- Monitor real-time trip progress and adjust schedules as necessary.
- Communicate with drivers regarding route changes, delays, and emergency situations.
- Ensure compliance with company policies, safety regulations, and service level agreements.
- Utilize dispatch software to track vehicle locations and trip status.
- Maintain clear and professional communication with clients regarding transportation status.
- Handle incoming calls, emails, and customer inquiries professionally.
- Maintain accurate trip logs, driver records, and compliance documentation.
- Assist with billing and invoicing processes related to transportation services.
- Coordinate office supplies, maintenance, and vendor relationships.
- Support HR functions, including onboarding new drivers and maintaining personnel files.
- Prepare reports on dispatch performance, trip efficiency, and operational metrics.
- Assist in training and development initiatives for dispatch and administrative staff.
Qualifications:
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- 2 years of experience (preferred) in dispatching, office coordination, or administrative support.
- Prior experience in the transportation or healthcare industry is a plus.
- Strong organizational and multitasking skills.
- Proficiency in dispatch software and Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Ability to remain calm under pressure and handle emergency situations effectively.
- Knowledge of HIPAA regulations and transportation compliance standards is a plus.
Work Environment & Schedule:
- Full-time position, Monday-Friday with occasional weekends based on operational needs.
- Office-based role with potential remote work flexibility.

Job Type: Full-time
Pay: $15.00 - $18.00 per hour
