What are the responsibilities and job description for the Administrative Secretary/Support Services - Maintenance, Operations, & Transportation (MOT) position at Berryessa Union School District?
DUTIES: Under the direction of the Director of Maintenance and Transportation provides clerical support to administrative personnel; communicates information to staff, the public, and other districts; orientates assigned personnel to their job requirements; ensures compliance with financial, legal and administrative requirements. Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution; monitors assigned activities and/or program components for the purpose of ensuring compliance with financial, legal and/or administrative requirements; overseas workload of department for the purpose of maximizing the efficiency of the workforce and meeting operational requirements; prepares written materials for the purpose of conveying information regarding school and/or district activities and/or procedures; processes documents and materials for the purpose of disseminating information to appropriate parties; responds to inquiries of staff, the public, parents and/or students for the purpose of providing information and/or direction as may be required; maintains data base of required information for the purpose of documenting and providing reliable information; processes the ordering and distribution of department supplies for the purpose of acquiring necessary resources to support department operations; reconciles department budget cash accounts as assigned for the purpose of maintaining accurate balances and complying with school accounting practices; arranges and schedules a variety of meetings for the purpose of preparing for events; coordinates district wide workshops and registration for the purpose of obtaining space and/or informing the staff of upcoming workshops.
QUALIFICATIONS: Must possess high school diploma or equivalent; prior job related experience with increasing responsibility; skills to operate standard office equipment including basic computer applications; ability to communicate effectively in English in both written and verbal form, and use correct spelling, grammar and punctuation. Must have knowledge of basic budgeting, financial and statistical recordkeeping, standard office equipment, computer applications to complete essential job functions. Ability to adhere to rules and regulations related to assigned functions. Must possess a valid California Driver’s License, tuberculosis clearance and criminal justice fingerprint clearance.
