The Sales & Services Representative plays a vital role in providing exceptional customer service and administrative support within the Sales Department. This position is responsible for accurate data entry, order tracking, customer account support, vendor communication, and ensuring seamless collaboration across departments. The ideal candidate is organized, customer-oriented, and open to cross-training to support overall team success.
Key responsabilities
- Serve as the first point of contact for inbound and outbound customer communications (phone and email).
- Provide responsive, solution-oriented service to both new and existing customers.
- Assist with onboarding new customer accounts and maintaining accurate, up-to-date customer records.
- Maintain proactive communication with customers to manage expectations, resolve inquiries, and handle complaints promptly and professionally.
- Monitor customer order history and follow up to identify upselling or cross-selling opportunities.
- Collaborate with the sales team and buyers on executing promotions, pricing changes, and managing customer programs.
- Perform accurate and timely data entry of customer orders, pricing, and related documentation using company systems such as Provision.
- Track and update open orders, monitor shortages and out-of-stock items, and ensure clear communication and resolution.
- Coordinate with warehouse and transportation teams to support accurate and timely order fulfillment and delivery.
- Prepare and send invoices, shipping paperwork, and billing documents to customers and internal teams as needed.
- Maintain sales calendars, schedule meetings, and coordinate appointments with vendors and customers.
- Communicate regularly with premium brand vendors and internal buyers to ensure product availability and alignment with customer needs.
- Participate in sales meetings and contribute to team strategy, updates, and performance goals.
- Foster cross-departmental collaboration with purchasing, sales, and logistics to support efficiency and service excellence.
- Utilize CRM tools and internal systems (e.g., Provision, Power BI) to document customer interactions, monitor order status, and generate basic reports.
- Compile, review, and present sales-related data for internal use and vendor communications.
- Use Microsoft Office Suite to manage documents, communications, and support presentations.
Team Contribution & Development:
- Stay current on product offerings, weekly pricing updates, and industry developments.
- Participate in cross-training to support team flexibility and coverage as needed.
- Demonstrate accountability, organization, and effective time management.

Qualifications:
- A high school diploma or equivalent is required; an associate’s degree is preferred.
- Minimum of 2–4 years of customer service or administrative experience, preferably in food distribution, manufacturing, or a related industry.
- Strong written and verbal communication, interpersonal, and problem-solving skills.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); familiarity with CRM or ERP systems is a plus.
- Ability to multitask, prioritize duties, and work both independently and as part of a team.
- Sales or purchasing experience preferred
- Occasional travel to customer sites within business hours may be required.
