In the role of Events Coordinator, you will assist in planning, organizing, and executing a wide variety of events, including corporate functions, conferences, trade shows, incentive trips, and social gatherings. Responsibilities
- Assist in the planning and coordination of events, including venue selection, vendor management, scheduling, and logistics.
- Serve as a point of contact for clients, vendors, and other stakeholders, ensuring all event details are clearly communicated and executed.
- Help source and liaise with vendors (caterers, decorators, AV technicians, etc.), ensuring they meet quality standards and event timelines.
- Provide on-the-ground support during events, including overseeing set-up, managing event timelines, and troubleshooting any issues that may arise.
- Assist with tracking event budgets, ensuring costs are within approved limits, and maintaining accurate records of expenditures.
- Support the promotion of events through social media, email campaigns, and other marketing channels as directed.
- Help with event debriefs, collecting feedback, and contributing to post-event reports for continuous improvement.
- Assist with event documentation, including contracts, permits, and any necessary paperwork.
- Perform additional duties as assigned.
Minimum Qualifications
- Ability to travel to event locations for all necessary site visits and execution of events.
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Proficiency in Microsoft Office (Excel, Word, PowerPoint); experience with event management software is a plus
- Attention to detail and ability to multitask in a fast-paced environment
- Ability to work independently and as part of a team
- Required Experience and Education
- Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Project
- Management, or a related field (or equivalent experience).
- Previous internship or 1-2 years of experience in event planning, hospitality, or a related field is a plus, but not required.
