As the Administrative Assistant of Donor Records, you will be primarily responsible for ensuring the smooth and efficient administrative and financial operations for Donor Records and Donor Engagement. This individual will provide support by completing the assigned tasks in a timely manner as directed. This position is expected to function effectively with moderate supervision while following the guidelines given on procedures, along with agency, federal, and state regulatory requirements.

ESSENTIAL JOB RESPONSIBILITIES
- Works collaboratively and provides administrative support for the Raiser's Edge Administrator;
- Open incoming donations and prepare for gift processing;
- Coordinate and manage branch events with all financial needs and recording in the Raiser's Edge database system;
- Coordinate and create reports for all mass marketing communications;
- Assist donors and staff with employee matching gift program;
- Facilitate list pulls, printing, and mailing all Donor Records communications;
- Execute financial tasks including invoices, expense reports, credit card reconciliation, and postage fulfillment;
- Maintain Donor Records incoming phone line and direct call center questions;
- Oversee and facilitate corporate stationary and business card orders for the Donor Engagement and Donor Records departments;
- Oversee and maintain office supplies for the entire Department, including inventory, order placement, and neat storage.
- Complete other duties as assigned.
QUALIFICATIONS:
- High School Diploma or equivalent;
- Excellent verbal and written communication skills;
- Self-starter with the ability to work independently;
- Must possess excellent interpersonal skills and be a team player;
- Strong attention to detail and highly organized;
- Must posses an ability to complete time-sensitive task by the defined deadline;
- Possess an understanding of, and strong commitment to, Bethany’s values and unique identity;
- Demonstrated capability to work proactively;
- Working knowledge of office practices, procedures, and basic accounting;
- Must have a high level of personal and professional integrity, including the ability to maintain confidentiality regarding donor profiles and personal information;
- Proficiency in Microsoft Office Suite/Outlook 365;
- Computer skills sufficient to perform essential functions including knowledge of Microsoft Office suite and the ability to learn new systems;
- Must be 21 years old with a valid driver’s license with at least 3 years driving experience in the U.S. to operate a vehicle on behalf of Bethany. Must also pass a Motor Vehicle Records (MVR) check and maintain a reliable vehicle with proof of adequate insurance coverage;
- Pass a criminal history screen, including state and local child protection agency registries;
- Subscription to and integration of the agency Statement of Faith, Mission Statement, and Diversity, Equity and Inclusion Commitment.
