Overview
We are seeking a highly organized and detail-oriented Office Administrator to support the daily operations of the church as a part of our mission and ministry. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by creating church publications, coordinating volunteers, and other clerical duties. This position requires strong communication skills as well as proficiency with various computer software and online platforms.
Bethlehem Lutheran Church and School is a Christian community serving the worship, fellowship and spiritual needs of a diverse congregational family in Granada Hills, California. We are a Christian church that embraces a loving God and undeserved grace. We are a member of the Evangelical Lutheran Church in America (ELCA) denomination and the Southwest California Synod.
Responsibilities:
- Receptionist for church office during office hours: answers the phone, welcomes visitors, etc.
- Provide a welcome, loving, and Christ-centered environment in the church office
- Publishes weekly worship bulletins
- Publishes weekly Sunday announcements
- Prints readings and prayers weekly for worship
- Sets up altar and lectern with readings for Sunday morning, email readings to Assistant Minister and reader for Sunday service.
- Schedules Sunday morning volunteers
- Calls or sends email reminders to Sunday morning volunteers
- Refreshes pews regularly by replacing pens and offering envelopes, prayer and visitor cards.
- Publishes monthly church newsletter
- Sets up for Bible Study on Wednesday mornings and cleans up afterward
- Assists pastor with projects of mailings as requested
- Pulls letter weekly for Balboa sign change and communicates with volunteers to change the sign
- Helps maintain and post on Bethlehem Facebook page
- Helps update and maintain website in connection with webpage administrator
- Maintains large reference calendar on in church office
- Does Post Office mailings, including monthly newsletters to selected members and weekly bulletin.
- Brings weekly deposits to the bank
- Sends emails to the congregation to inform them of current prayer requests and church events and needs with assistance of Pastor and Business Administrator
- Publication of funeral and wedding bulletins as needed, with assistance of Pastor
- Assisting with Congregational Annual Record keeping for Annual Report.
- Responsible for assisting with membership records digitally and a printed paper version of the most current, accurate, member directories for church members
- Communicate with florist for holiday flowers- Lent, Easter, and Christmas
- Create flyers and graphics as needed, using Canva and/or Publisher
- Monitoring office supply inventory and ordering as needed
Skills:
- Well organized and reliable
- Ability to work effectively with other staff and volunteers
- Proficient with Microsoft Word, Microsoft Publisher, Gmail, and Facebook
- Willing and able to learn MailChimp online email program, Google Slides, Breeze Membership tracking software, and other programs as needed
Qualifications:
- Background check required
- Ability to relate positively to church members, visitors, and other staff
- At least 18 years of age
Experience in church environment strongly preferred
