Overview

We are seeking a motivated and detail-oriented Administrative Assistant to join our small but dynamic team. This part-time, on-site role involves a blend of administrative support and hands-on event coordination. The role supports the Executive Director, Visitors Center, and assists with event planning and logistics. The Administrative Assistant will play a crucial role in supporting, planning and the execution of various events, ensuring that all aspects run smoothly and efficiently. This position requires excellent organizational skills, strong customer service abilities, and the capacity to manage multiple tasks in a fast-paced environment. Some nights and occasional weekend are required. All other duties as assigned.

Duties

  • Provide administrative support to ensure smooth operations. This includes clerical tasks such as filing, data entry, and maintaining event documentation.
  • Assist in the coordination and logistics of downtown events from inception to completion.
  • Provide exceptional customer service by addressing inquiries and resolving issues promptly.
  • Support event setup and break-down, including arranging tents, tables, decorations, and small equipment as needed.
  • Maintain communication with vendors, clients, and team members to ensure all requirements are met.
  • Attention to detail, the ability to multi-task, and a commitment to organizational goals are very important.
  • Operate phone systems to facilitate communication on a daily basis.
  • The role includes taking meeting minutes and providing assistance to board members as needed.
  • Will be responsible for social media updates.
  • Will assist with website tasks and maintenance.
  • Support the downtown Visitors Center operations, familiarity of the area and its history are crucial.

Experience

Ideal candidates will possess the following skills :

  • Front line experience, be considered approachable, friendly, and have a strong customer service and communication skill-set.
  • Background in executive assistance or office management is preferred.
  • Excellent time management skills to prioritize tasks effectively.
  • A background in nonprofit organization is beneficial.
  • Familiarity with managing social media and websites a plus.
  • Proficiency in Microsoft Suite, Google, and general computer use.
  • Work Hours and Expectations

    This is a part-time position, primarily during weekdays, with occasional early evenings and weekend hours. During signature festivals and events, we operate in an "all hands on deck" model, requiring additional availability and teamwork. Flexibility from both the employer and employee is essential to ensure smooth operations and success in this dynamic role.
