    At Beyond Karate, we provide physical training beyond martial arts, facilitating programs like Karate, Day Camps, Workshops, Life Skills, Tutoring, and other activities geared towards children, teens, adults and their families; the majority of which are neurodivergent or have varying special needs. Our goal is to support and empower growth, self-esteem and teach the tools required to live life with greater confidence and purpose. We meet each student where they are and create a plan for them that highlights their abilities and encourages them to level up for success!

    Job Summary

    Our rapidly growing organization is seeking a proactive and experienced Assistant Program Manager to join our team! You will play a key role in overseeing and facilitating creative workshops for students, running seasonal day camps in our city parks and beaches, and supporting various day-to-day operations. Depending on your experience, you may also assist with our karate program.

    We are looking for someone who can eventually lead or substitute in classes, assist with administrative tasks, and support the needs of the center as they arise. Flexibility and multitasking are essential, as we are a small team where everyone pitches in to create an exceptional experience for our community.

    The ideal candidate will be :

    Responsibilities :

  • Administrative tasks and scheduling, roster management, and other program-related logistics.
  • Overseeing our team of staff instructors and all programs (camps, workshops, leadership training, etc.).
  • Helping new families onboard.
  • Assisting Sensei Mallica with business needs such as errands, phone calls, and scheduling.
  • Help organize (paperwork, workshop supplies, dojo equipment, merchandise, etc.).
  • Creating systems for new projects.
  • Close / lock up the dojo at the end of the day and ensure everything is cleaned and put away, which can be done by delegating to other staff.
  • Make sure things are printed and ready for the next work day and all Sensei Mallica’s desk and emailed to her with a list of tasks completed for the following day.
  • Have a flexible schedule to meet the needs of Beyond Karate (open Monday - Saturday).
  • Consistently demonstrate a positive attitude and exceptional customer service skills.
  • Follow all health and safety guidelines.
  • Qualifications :

  • Must pass a background check and be CPR / First Aid certified prior to the start of employment.
  • Demonstrate full knowledge and capability of Google Workspace, and other platforms, or willingness to learn.
  • Familiarity with QuickBooks.
  • Excellent administrative & organization skills.
  • A sense of humor and a love for kids! Know that there is no magic wand, but you can help make small changes that can have very positive results.
  • Ability to lead and manage a team of staff instructors and their assistants, ensuring programs, projects, and events run smoothly and deadlines are met.
  • Experience working with children.
  • Experience or a desire to teach.
  • Comfortable working with children and people of all ages with special needs.
  • Maintain a professional demeanor and excellent communication skills with employees and families at all times.
  • Self-motivated with an ability to multitask, handle complex situations appropriately, think quickly and creatively, problem solve, prioritize tasks with limited supervision, and communicate in a timely manner when issues arise, need assistance and / or unable to meet deadlines.
  • Able to follow all health and safety guidelines and ensure the safety of program participants at all times.
  • Professional, positive and encouraging attitude.
  • Ability to multitask and handle complex situations appropriately.
  • Prior knowledge and experience in HIPAA compliance a plus.
  • Prior experience as a camp counselor a plus!
  • Experience in martial arts a plus!
  • Skill with creative arts a plus!
  • Able to work on your feet for extended periods.
  • Application Process :

  • In-Person Interview : Candidates who pass the phone interview will be invited for an in-person interview at our dojo. This interview will include a tour of our facilities and a meeting with Sensei Mallica and other key team members.
  • Background Check and Certification Verification : Candidates who are considered for the position will need to pass a background check and provide proof of CPR / First Aid certification.
  • Final Decision : After all interviews and checks are completed, we will make a final decision and extend an offer to the selected candidate.
  • Onboarding : Once the offer is accepted, the new hire will go through an onboarding process, including training and orientation to familiarize them with our programs, policies, and team.
