SUMMARY OF DUTIES:

The Human Resources Assistant performs administrative tasks and assists with various HR functions to include recruitment support, onboarding, benefits, and employee records.

 REPORTING RELATIONSHIP

Chief Human Resources Officer

 ESSENTIAL DUTIES & RESPONSIBILITIES

 Recruitment and Onboarding:

  • Assist in the scheduling of candidates for interview, including correspondence to confirm location and directions.
  • Prepares required documentation for Interview and forwards to appropriate party(ies).
  • Responsible for securing candidate references in accordance with Agency policy
  • Assist with New Hire process conducting new hire paperwork meeting to obtain required documentation for hire (including but not limited to education verification, applicable license and certifications, state central registry, criminal record check, drug test, exclusionary databases).
  • Sets up New Hires in the time clock system (complete finger scan process)
  • Maintains employee personnel files
  • Coordinates job fair calendar, scheduling attendees, preparing supplies, maintaining inventory

OSHA and Safety

  • Assists in reviewing A/I reports for accurate completion, follows up with supervisor for missing information.
  • Logs Workers compensation injuries into accident injury log, files reports as directed

Human Resources Information Systems

  • Assists with USER passwords and resets
  • Runs excel or other database reports  and forwards to applicable party(ies) to include
  • Robocall report
  • Upcoming performance reviews including DSP evaluations
  • Coordinates performance review paperwork process, sending out self-evaluations to employees, receives completed review packets from supervisors, enters completion dates in UKG, files evaluation.
  • Logs employee property into UKG

Recognition and Retention

  • Provides assistance with the Employee Recognition Programs (ie. Flash Fun Friday); and Employee Appreciation Events

General Office Support

  • Assists in forwarding benefit enrollment paperwork to Payroll and Benefits Manager
  • Assists with/receives files documentation from employees
  • Scans interview files into the H drive
  • Responsible for employment verification forms
  • Provides administrative assistance and clerical as directed including filing, sorting of mail, answering phones, meeting and greeting visitors, preparing documents, filing, duplicating.
  • With direction may compose a variety of materials such as letters, memoranda, bulletins, requisitions, reports, and statistical data from rough drafts or oral instructions.
  • Observes confidentiality procedures and ensures documentation and communications have the necessary safeguard to ensure confidentiality, security and control. Involvement with high-level contacts and exposure to sensitive information necessitates considerable use of tact, diplomacy, discretion and judgment.
  • Creates and maintains databases and spreadsheets.
  • Performs purchasing tasks for by contacting vendors, preparing and typing requisitions, and maintaining records of purchases.
  • Arranges and coordinates meetings and events including the scheduling of meeting rooms.
  • Maintains and projects the Beyond Support Network’s professional reputation.
  • Provides assistance and responds to inquiries and questions from applicants, principals, managers, supervisors, and employees.
  • Assists with formal studies and projects relating to, staffing, employment, compensation, etc.
  • Ensure confidentiality of employee data
  • May serve as back up to the Executive Administrative Assistant for Board Meetings
  • Performs other duties as assigned.

SKILLS & ABILITIES

  • Minimum: An Associate’s degree or Certificate in related field; equivalent experience will be considered
  • Required NYS Driver’s License
  • Successful completion of background checks
