Job Summary
The Program Assistant will be responsible for providing support to the Program team by performing administrative functions. The Program Assistant is responsible for a variety of routine clerical, reception, and office support functions.
Requirements:Essential Responsibilities
- Provide administrative support to Program Team
- Respond to inquiries from families and volunteers
- Manage all databases including Matchforce, Excel Enrollment and Program records
- Welcome/greet visitors and staff each day
- Answer and route incoming calls, field questions and requests.
- Perform clerical tasks including but not limited to, data entry, filing, and invoice processing.
- Track and manage multiple, and often simultaneous clerical tasks with a high level of attention to detail.
- Assist program staff in planning, development, implementation, and evaluation of Community Programs for children aged 7 to 16
- Assist in planning and execution of match events
- Perform administrative and case management tasks as required
- Assist with Program and Agency events as required
- Manage the faxes, scans, mail, postage, and bulk mail
- Manage the Inventory and procurement of office supplies
- Maintain confidentiality in all areas of the BBBSLI program operations.
- Conduct Volunteer Background Check (criminal, license and internet inquire)
- performs other related duties as required.
Qualifications/Requirements
- Bachelor’s Degree
- Minimum of 2 - 3year relevant work experience
- Intermediate to advance knowledge of Microsoft Office and database applications a must.
- Proactive approach to problem solving
- Strong time-management and organizational skills
- Must be pleasant and professional
- Able to multi-task
- Excellent Customer Service Skills
- Detail-oriented with strong organizational skills
- Ability to maintain confidentiality and ensure data protection.
