Big Rigs Tanker Service, Inc. is looking for an Administrative Assistant who can juggle tasks with the finesse of a circus performer and keep our office running smoother than a well-greased truck. If you’re highly organized, detail-oriented, and have a knack for making things happen, this is the role for you. Plus, you’ll be helping our team (and maybe making a few drivers smile along the way).
Responsibilities:
- Help create, organize, and send orders for dispatch (bonus points if you can do this while sipping coffee and keeping a smile on your face).
- Manage dispatch email and calendar like a pro – your inbox will never stand a chance.
- Process and send daily paperwork to customers (you’ll basically be the lifeblood of our operations).
- Check and record daily truck logs.
- Monitor and maintain the ELD system (Motive) – you’re the tech-savvy hero we need.
- Arrange hotel accommodations for drivers when their road warrior adventures take a night off.
- Manage and process vapor certificates and permits for all units (yep, you’ll be the permit guru).
- Update spreadsheets with new info – equipment, terminal info, employee info, you name it. You’ll make Excel your playground.
- Send reminders to drivers for expiring credentials – because no one likes that "oops, I forgot" moment.
- Help clean the office when needed – team bonding time! (Dusting is more fun when it's a group effort, right?).
- Create and maintain filing systems, both electronic and physical. If it’s not in its place, you’ll know exactly where it should be.
- Other duties as assigned – because flexibility is key and we might throw you a curveball (but you’ll hit it out of the park).
Required Skills:
- Strong written and verbal communication skills (clear and to the point – no one has time for miscommunication).
- Highly organized with an eagle-eyed attention to detail.
- Must be a wizard in Microsoft Office (Excel formulas? Bring it on. Outlook? You've got this. Adobe? You're the master).
- At least 1-2 years of administrative experience.
- Excellent time and deadline management (you can juggle multiple tasks without breaking a sweat).
- Task prioritization skills – like a game of Tetris, you’ll fit it all in.
- Must be reliable (we rely on you, and you can count on us to support you).
- Able to pass alcohol & drug screening, and background check (we like to keep it clean here).
Desired Qualifications:
- Highly motivated and self-driven – no need for a babysitter, you take charge.
- A working knowledge of the petroleum field / trucking industry (if you know the difference between a “tractor" and a "truck tractor" you’re in good company).
Skills and Physical Demands:
- Able to work in an office setting with stairs.
- Capable of learning and using various electronic systems and technology.
- Manual dexterity to operate a computer keyboard, mouse, calculator, etc. (basic office survival skills).
- Requires normal range of hearing, vision, and smell (because let’s be honest, we need you to smell when someone burns popcorn in the office).

Pay: $20.00 - $25.00 per hour
