What are the responsibilities and job description for the Compliance Specialist position at Biggs Group?
The Compliance Specialist works as a “gatekeeper” for Biggs Property Management Portfolio. The main functions of the Compliance Specialist are to ensure that all properties are staying in compliance with all applicable regulatory requirements, and to report any instances of non-compliance to the Director of Operations for review and correction.
The Compliance Specialist is primarily responsible for supporting and assisting the Director of Operations with overseeing the compliance aspect of Biggs Property Management multifamily housing portfolio of properties- both owned and fee. The Compliance Specialist will work to ensure that all regulatory policies and procedures are followed for all matters of resident applications, move ins and recertifications.
Essential Functions:
Give Final Approval on all Tax Credit and Tax Credit layered Move ins:
- Review and give income approval on all Tax Credit and Tax Credit layered move in files within 24 hours of receiving file.
- Do preliminary file review.
- Complete list of corrections needed.
- Give conditional approval based on income levels/student status.
- Once approved, email final approval and allow move ins through Yardi.
Gathers and submits all information for all remote Desk Audits:
- Assist Director of Operations to ensure that all files are gathered, reviewed, and submitted on time for remote Desk reviews.
- Coordinate with Property Management to get files completed on time.
- Review files.
- List of corrections needed.
- Coordinate with Director of Operations to review and submit completed paperwork.
Complete all AOC’s.
- Complete and submit all AOCs after tenant events have been completed.
- Coordinate with property managers to get all corrections needed, submit AOC Corrections as needed.
Transmit TRACS:
- Report any late certs that may hold up TRACS submission before TRACS submission date (by 1st of month- report all possible issues to Director of Operations)
- Report any discrepancies with TRACS submission to Director of Operations.
- Send EIV reports to property manager.
Quarterly reporting:
- Send updated vacancy report to Director of Operations for Cinnaire Reporting.
- Send updated reports as needed for various 3rd party reporting.
Compliance:
- Assist with implementation of HOTMA across complete portfolio as required by Regulatory Agencies.
- Attend Trainings as needed to keep up to date with rulings for all regulatory agencies that Biggs Property Management partners with.
- Annual review -update of income limits, max rents, utility allowances.
Assist with:
- Physical file audits- by reviewing files before audit or being present at audit as needed.
- On site qualifying residents as needed with Lease ups, rehabs, or new acquisition as needed.
- Internal audit of property files by either visiting property or requesting random files for review.
- Assisting, training, providing direction to Property Managers as necessary.
- Document Retention.
