TITLE: ACCOUNT SPECIALIST
REPORTS TO: Supervisor, Account Services
STATUS: FULL-TIME; EXEMPT
POSITION PURPOSE
The Account Specialist is responsible for supporting the Account Team on an assigned book of business for renewal and new business opportunities throughout the renewal process and for updating and utilizing an internal CRM system. The Account Specialist supports the team in marketing prospective clients and will assist year-round with client communication and concierge service issue resolution.
RESPONSIBILITIES
ESSENTIAL FUNCTIONS:
- Assist Sr Account Manager and Account Manager in all renewal and new business marketing projects within an assigned book of business.
- Begin renewal process at least 60-75 days prior to renewal date by obtaining data from client to quote renewal; working with analyst team to coordinate submission of RFP to carriers; present any carrier utilization reports available.
- Review quotes received and prepare exhibits for presentation to client
- Coordinate work necessary to provide payroll deduction exhibits.
- Coordinate client decisions and implementation, initiate sold case checklist; assist with preparation of open enrollment materials.
- Participate in implementation calls with new carriers as necessary.
- Work with Compliance Consultant on facilitating necessary compliance needs generate and send notice instructions to clients,
- Update all accounts on CRM when a change to a new carrier is made or a renewal is completed to maintain electronic files.
- Conduct employee education meetings during both open enrollment and throughout the year as needed.
- Coordinate development and production of communication materials with Graphic Designer to include proofreading and attention to detail and accuracy.
- Assist clients with problems encountered with carrier/vendor partners.
- 24-hour response time to client service emails and voice mails.
- Coordinate the completion of commissions summaries and formulating broker compensation disclosures.
- Maintain awareness of new developments or changes with the various carriers and new Federal/State laws that may affect how our clients must administer their benefit programs and pass this information along to our clients .
- Develop and maintain a positive relationship and rapport with each insurance carrier to further satisfy our clients’ needs, departmental needs and facilitate the processing of business.
- For certain clients, develop timelines and action plans related to projects such as wellness, HRIS system implementation.
- Seek out opportunities within client for cross selling of other lines of coverage.
- Act as a back up to the Sr Account Manager and Account Manager with clients and carriers.
- Adhere to BIM Standard Operating Procedures (SOPs) and participate in work groups and potentially assist in authoring of new SOPs.
- Answers general HR topic related questions for clients (i.e., COBRA, FMLA, Section 125)
- Attend and complete any training sessions or assignments as required.
- Perform other tasks on projects as needed/assigned.

QUALIFICATIONS REQUIREMENTS:

- Bachelor’s degree and at least one year of experience in insurance industry HR or employee benefit account management, or equivalent combination of education and experience. Intermediate prior Administrative experience in other industries will be considered.
- Kentucky agent’s license in Health and Life within first 90 days of employment (company sponsored)
- Possess communication skills necessary to communicate with clients, clients’ employees and prospects concerning employee benefit lines of coverage.
- Intermediate knowledge of Microsoft Word and Excel preferred, basic working knowledge required. Knowledge of Power Point preferred.
- Strong organizational skills, high attention to detail, responsive and self-motivated.
- Certain in area travel may be required
