Overview
We are seeking a detail-oriented and organized Bookkeeper/Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations, managing schedules, and ensuring efficient office functionality. This position requires strong communication skills, proficiency in various office software, and the ability to multitask effectively in a fast-paced environment.

Responsibilities

  • Manage and maintain staff calendars, including scheduling appointments and jobs.
  • Answer multi phone system, ensuring professional phone etiquette at all times.
  • Assist with clerical duties such as filing, data entry, and maintaining organized records.
  • Manage AP/AR for the businesses
  • Support human resources functions by assisting with employee on-boarding and maintaining personnel files.
  • Oversee office supplies inventory and place orders as necessary.
  • Mandatory knowledge in QuickBooks for accounting tasks and financial record keeping.
  • Must know how to do payroll and all taxes associated with the business.
  • Must understand State of Ohio Gateway for sales tax.
  • Coordinate with various departments to ensure smooth operations within the office.
  • Must have a Sales background.
  • Supervise field staff as needed to ensure tasks are completed efficiently. You will oversee staff in the field within the 2 businesses.

Skills

  • Proficiency in QuickBooks and other office software applications.
  • Knowledge in all CRM's programs with in our businesses.
  • Strong knowledge of phone systems and excellent phone etiquette skills.
  • Experience in calendar management and scheduling for multiple individuals or teams.
  • Familiarity with clerical tasks such as filing, data entry, and document management.
  • Background in human resources or medical office management is preferred but not required.
  • Ability to supervise and guide junior clerical staff effectively.
  • Excellent organizational skills with a keen attention to detail.
  • Strong written and verbal communication skills.

Job Type: Full-time

Pay: From $18.00 per hour

Expected hours: 40 per week

Benefits:

  • Paid time off

  • 8 hour shift
  • Monday to Friday
  • Weekends as needed

Experience:

  • Bookkeeping: 5 years (Required)
  • QuickBooks: 5 years (Required)
  • Office management: 3 years (Preferred)

Ability to Commute:

Ability to Relocate:

  • Findlay, OH 45840: Relocate before starting work (Preferred)
