Job Summary: We are seeking a dynamic HR Administrative Assistant to join our Human Resources team. In this role, you will be responsible for supporting the multi-site manufacturing organization as a bilingual HR Administrative Assistant by providing exceptional administrative and HR services across locations. The ideal candidate will leverage strong communication skills in both English and Spanish to facilitate employee training programs, ensure compliance with company policies, and provide day-to-day HR support. They will also play a pivotal role in managing multiple priorities, collaborating with diverse teams, and maintaining accurate records to foster a productive and respectful work environment. Lastly, they will contribute to enhancing the overall HR function, driving organizational success, and supporting a positive workplace culture. Fluency in English is required for this position, as effective communication is essential for successful job performance.
Key Responsibilities:
- Manage complex calendars, coordinate high-level meetings, and handle sensitive communications for the leadership team, ensuring smooth day-to-day operations.
- Serve as the primary contact for employees using the UKG system, guiding them through timekeeping, benefits enrollment, and resolving issues.
- Partner with the Safety department to deliver training, especially in Spanish, ensuring consistent safety and policy education across plants.
- Collaborate with HR to streamline recruitment and onboarding, including posting job openings, screening candidates, and facilitating orientations for Spanish-speaking hires.
- Organize logistics for various activities, including travel arrangements and catering for meetings and events.
- Drive employee engagement by planning events such as town halls and training sessions to foster a positive work environment.
- Support the Safety department by maintaining safety documentation, assisting with safety tasks, and managing safety cards.
- Oversee the distribution and management of employee uniforms, ensuring appropriate attire, managing inventory, and addressing uniform issues.
Qualifications:
- High School Diploma or equivalent required.
- Some college coursework in Human Resources, Business Administration, or a related field preferred.
- HR certification (e.g., PHR, SHRM-CP, or equivalent) strongly preferred.
- Minimum 3 years of experience in an HR or administrative role.
- Bilingual proficiency in English and Spanish required, with strong written and verbal communication skills.
- Experience in using HRIS systems, particularly UKG (Ultimate Kronos Group), preferred.
- Proven experience in supporting leadership teams and managing complex administrative tasks.
- Experience in coordinating and delivering training programs, especially in a bilingual environment.
- Ability to travel to different plant locations for training sessions.
