Budget Title: Senior Staff Assistant (SL-3)
Salary: $55,151 (commensurate with experience)
Binghamton University is seeking a qualified candidate for the position of Graduate Admissions Systems Specialist. Working as a key member of the team in the Office of Graduate Recruitment and Admissions the incumbent will provide functional system support for admissions and recruitment by helping to maintain and manage the Graduate Admissions Customer Relation Management (CRM) software, Slate.
Essential Functions:
- Provide system support for the Graduate Admissions CRM (Slate), troubleshooting errors, implementing new features, upgrading legacy tools, and developing enhancements, automations, workflows, and rules
- Integrate new degree programs and third-party admissions applications, including CAS
- Support CRM system training for new users, manage security permissions, and ensure back-up coverage for essential functions
- Monitor the flow of admissions applications within the CRM, recommend process improvements, assist with annual cycle preparation, and ensure accurate data transfer to the student information system
- Maintain data integrity for prospect and applicant information, including user access group management
- Build and maintain queries and reports to assess daily operations and workflows
- Assist in building and maintaining prospect creation and lead generation systems
- Support the creation of new source formats and automated feeds from third party systems and vendors
- Develop and maintain documentation on system processes and updates
- Build and maintain portals and forms for applicants and internal/external users to streamline recruitment and admissions processes
- Plan and implement annual CRM (Slate) upgrade strategies
- Identify, implement, and document new Slate CRM functionalities, including timelines, testing, and training plans
- Oversee the integration of admission data across Slate CRM and other enterprise systems, collaborating with IT and Institutional Research
- Supervise Graduate Assistants or Student Assistants
Job Requirements:
- Bachelor's degree (or higher)
- Experience working with customers/clients
- Excellent attention to detail and organizational skills
- Demonstrated ability with learning new systems/technology
- Excellent analytical, problem-solving, and multitasking skills
- Demonstrated ability to communicate effectively in a fast-paced office environment and work effectively in a team environment
Preferred:
- Master's degree (or higher)
- At least one year of experience working with any CRM System (e.g., Slate, Salesforce, etc.)
- At least one year of experience working with a student information system (e.g., Banner, PeopleSoft, etc.)
- At least one year of experience providing training or instruction
- Experience in higher education
