Job Summary
We are seeking a motivated and organized Office Administrative Assistant to join our team. This role is essential in ensuring smooth office operations and providing excellent customer service. The ideal candidate will possess strong communication skills, be proficient in various office software, QuickBooks and have a keen eye for detail. You will be the first point of contact for clients and visitors, making your role crucial in creating a positive impression of our organization.
Responsibilities
- Greet and assist clients and visitors in a friendly and professional manner.
- Manage incoming calls, emails, and correspondence efficiently.
- Perform data entry tasks accurately and maintain organized filing systems.
- Utilize QuickBooks for basic accounting tasks as needed.
- Provide administrative support to staff, including scheduling appointments and managing calendars.
- Assist with clerical duties such as typing documents, preparing reports, and maintaining office supplies.
- Ensure the reception area is tidy and welcoming at all times.
- Handle customer service inquiries with professionalism and resolve issues promptly.
- Support time management by prioritizing tasks effectively to meet deadlines.
Experience
- Proven experience in a receptionist or administrative assistant role is preferred.
- Strong customer service skills with the ability to communicate effectively with diverse individuals.
- Excellent computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong time management skills with the ability to multitask and prioritize responsibilities efficiently.
- Previous experience as a personal assistant or clerk is advantageous.
- Attention to detail with strong organizational skills to maintain accurate records.
- Spanish Speaking a plus ( Bi-lingual is needed)
