Reporting to the Site Head, the Operations & Administrative Coordinator supports daily operations, resident engagement, and stakeholder reporting at BioLabs@NYU Langone. Key responsibilities include managing communications, budgets, onboarding, databases, and events, while also contributing to marketing and community-building initiatives. This is a nine-months temporary contract.

- Provide daily administrative support including communication, scheduling, and expense tracking.
- Prepare documents and presentations; maintain web content and internal communications.
- Manage the application pipeline, onboarding/offboarding processes, and workspace assignments.
- Monitor the office budget and coordinate with Finance on invoicing and payments.
- Support vendor coordination, site compliance, and execution of special projects.
- Maintain accurate databases of resident companies, investors, and stakeholders.
- Track KPIs and company progress; generate reports for NYU Langone, StartUp NY, and sponsors.
- Create dashboards and visual reports to support strategic decision-making.
- Document economic impact data and assist with grant applications and partner communications.
- Assist with event planning and execution, including occasional after-hours support.
- Contribute to marketing efforts via website updates, newsletters, and social media.
- Help develop promotional content and marketing assets and support community-building initiatives across the BioLabs ecosystem.
- Perform other duties as assigned.
- Minimum bachelor's degree and at least 2 years of professional experience in the relevant fields.
- Demonstrated experience in managing day-to-day operations, event organization and customer service.
- Proficiency in Microsoft Office Suite, Google Workspace, and familiarity with project management tools.
- Strong written and verbal communication skills, including experience with preparing presentations and correspondence.
- Excellent organizational and multitasking abilities, with attention to detail and time management.
- Experience with budget monitoring, expense reporting, and basic financial tasks. Ability to work independently.
- Must be able to lift up to 25 pounds and be able to stand for several hours at a time.
- Be available to attend occasional events outside opening hours.
- Able to travel to other BioLabs sites.
