Vendor Management Specialist (Contractor)
Location: Redwood City, CA
Position Type: Contract (3-6 months)
Reports To: Associate Director, Procurement
About The Role
The Vendor Management Specialist will support procurement operations by leading vendor onboarding, compliance verification, procurement system integrations, and operational efficiency within the procure-to-pay platform (Corpay). This role requires strong communication, problem-solving, and data analysis skills to ensure seamless vendor engagement, policy adherence, and procurement optimization.

Pay Range$45—$55 USD
Adicet fosters a collaborative, high-performing environment by prioritizing in-person engagement. To enhance teamwork and communication, employees are required to be onsite at least three days per week (Tuesday–Thursday mandatory), with some roles requiring full-time onsite presence.

About The Role
The Vendor Management Specialist will support procurement operations by leading vendor onboarding, compliance verification, procurement system integrations, and operational efficiency within the procure-to-pay platform (Corpay). This role requires strong communication, problem-solving, and data analysis skills to ensure seamless vendor engagement, policy adherence, and procurement optimization.
Key Responsibilities & Time Allocation
- Vendor Portal Implementation & Management (50%)
- Manage vendor onboarding through Corpay, ensuring all required documentation is collected and validated.
- Facilitate vendor registration and provide guidance on account setup and system access.
- Conduct bank verifications for new vendors, support payment run verifications, and bank account change requests as part of compliance protocols.
- Ensure vendor profiles remain updated and compliant with internal procurement policies.
- Procurement Operations & Vendor Support (25%)
- Oversee the purchasing inbox, ensuring vendor requests are properly routed and addressed.
- Submit and track vendor onboarding requests, ensuring alignment with procurement policies.
- Assist with purchase order processing, especially during peak periods or staff absences.
- Maintain accurate procurement records, vendor documents, and transaction history for audits and reporting.
- Punchout & Catalog Integrations (20%)
- Support the setup, testing, and implementation of Punchout integrations for multiple vendors within Corpay.
- Work closely with Corpay engineers and vendors to ensure catalog functionality aligns with procurement workflows.
- Troubleshoot and coordinate resolution for Punchout-related issues.
- Vendor Data Analysis & Cost Optimization (10%)
- Utilize Excel and spend analytics tools to assess vendor performance, transaction history, and cost trends.
- Identify opportunities for vendor consolidation and cost savings based on procurement data insights.
- Provide data-driven recommendations to enhance supplier negotiation strategies.
- Cross-Functional Collaboration (5%)
- Partner with Accounts Payable (AP) to resolve vendor payment issues and invoicing discrepancies.
- Work with procurement and finance teams to align vendor management processes with business needs.
- Engage with vendors and internal stakeholders to resolve system-related issues within the procure-to-pay platform.
- Bachelor’s degree in Business Administration, Supply Chain Management, Finance, or a related field.
- 1-3 years of experience in vendor management, procurement operations, or financial compliance.
- Strong Excel skills (pivot tables, VLOOKUP, data analysis).
- Excellent communication and problem-solving abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience with Corpay or similar procure-to-pay systems.
- Knowledge of bank verification processes and vendor compliance procedures.
- Strong analytical mindset with a focus on cost-saving initiatives.
