Summary/Objective 
The Real Estate Property Manager is responsible for managing commercial and retail leasing activities, coordinates land acquisition activities and oversees all aspects of the organization’s real estate functions.  Manages the organization’s leasing agreements for tenant space, retail space, parking deck office and retail space and other Convention Complex long-term lease properties.  Maintains the planning, coordinating and implementation of a leasing program that will ensure the occupancy of the Forum, Uptown and other BJCC long-term lease properties. Responsible for the oversight, leasing strategy and management of the leased real estate assets of the Authority comprised of the Forum Office Building, Uptown leased retail space, leased retail and commercial space in the 22nd street parking deck and any other leased assets of the Authority.   

Essential Duties/Responsibilities  

Demonstrates understanding and full performance ability in each of the following:

  • Acts as management representative for the BJCC in all matters involving lessor/lessee relationships during the lease term.
  • Maintain a comprehensive system of documentation containing lease abstracts, copies of lease agreements, rent rolls, documentation of each leased space including build out details and all commitments of the BJCC and lessee associated with each tenant. 
  • Serves and the representative of the BJCC with lessee concerning amount of space, layout, term, cost, legal aspects, and review of various aspects of lease.
  • Draft correspondence as necessary to administer lease provisions including all notices, defaults, COI requests, and commencement letters
  • Coordinate all Tenant move-ins and move-outs.
  • Assures that the Forum, Uptown and other leased premises are maintained in a clean, secure, and accessible manner.
  • Coordinates with appropriate staff to ensure proper maintenance is performed on the HVAC; electrical systems such as plugs, switches, and lighting, and plumbing are all in proper working order in both public and tenant areas.
  • Oversees the collection of rents and other charges related to tenants and other long-term lease properties and departments.
  • Reviews all utility charges, use charges and other cost of operation of the Forum, Uptown and other lease properties.
  • Acts as management representative for matters involving lessor/lessee relationships during the lease term.
  • Conducts building inspections and coordinates with housekeeping supervisors to ensure cleanliness of all common areas such as meeting room, classrooms, lobbies, registration areas, break areas, auditorium, corridors, escalators, elevators, stairways and building administrative offices in the Forum.
  • Coordinates with Custodial Services to ensure janitorial services are properly performed in all tenant areas.
  • Ensures that exterior grounds, entrances, loading docks and sidewalks are properly maintained through coordination with proper personnel.
  • Responsible for maintaining proper awareness of tenant needs and being responsive on a timely basis to those needs.
  • Utilizing the software application of the BJCC, utilize an up-to-date schedule of all conferences, meetings and events scheduled in the BJCC for communicating with tenants and affiliated businesses leasing space from the BJCC and reviews the schedule on a daily basis.
  • Maintains communication with appropriate BJCC staff to assure all items needed for events and meetings are provided on a timely basis.
  • Performs follow-ups of contacts by sending correspondence, arranging appointments, providing information, answering questions, providing cost analysis and marketing information.
  • Prepares materials, exhibits, schedules, presentations, and lease documents.
  • Updates all signage, notices and directories as needed and as events and meetings occur in the Forum.
  • Coordinates construction planning of tenant improvements and buildouts of tenant space by working with the construction manager, architect, contractor, and tenant.
  • Performs other duties as required.

Work Environment
This environment is fast paced and moderately demanding. Work is typically performed indoors, in a temperature-controlled office setting. 

Physical Demands

Duties require extended periods of sitting and/or standing. Moderate amount of physical effort such as walking, standing, climbing, bending, stooping, squatting, and kneeling. Requires walking between venues for extended periods of time during events. Ability to lift up to 30lbs with or without assistance, while maintaining good balance. Must be flexible enough to reach above shoulder level and be able to push and pull for brief periods of time. Visual acuity, speech recognition, and speech clarity. 

 

Position Type/Expected Hours of Work
This is a full-time position. Normally, Monday-Friday regular business hours 8:00 a.m. 5:00 p.m. Although due to property management demands some after normal business hours and weekends may be required. 

 

Required Education and Experience

  • Minimum of five (5) years related experience in property management in a private or public entity. Commercial property management experience: office buildings, medical facilities, and/or retail shopping facilities, strongly preferred. 
  • GSA leasing and management knowledge strongly preferred. 
  • Bachelor’s degree from an accredited college or university with emphasis in public administration, business management or a related field. A minimum of ten (10) years related experience in facility/property management may be substituted for degree requirement. 
  • Property management industry certification strongly preferred. 
  • Real estate experience with the ability to read blueprints, schematic designs, floor plans, etc. is strongly preferred. 
  • Valid State Driver License.

Additional Eligibility Qualifications

  • Knowledgeable of Business English and basic mathematical calculations.
  • Must possess the ability to build effective relationships, both internally and externally, by representing the BJCC in a professional manner in all endeavors. Expected to facilitate relationships and coordinate with tenants, custodial, security, etc. for a seamless service delivery. 
  • Must be able to work independently; anticipate problems and implement immediate corrective actions; ability to make complex decisions in accordance with established policies and procedures.
  • Ability to understand oral and written instructions in English.
  • Knowledge of parking administration in a large public facility or associated with building management is strongly preferred.

  • Ability to maintain good rapport with tenants, guests, the general public and other employees.
  • Excellent organizational and time management skills with a proven ability to meet deadlines and an attention to detail.

  • Ability to manage multiple projects at once. 
  • Proficient in Microsoft Office software, to include Outlook, PowerPoint, Word, Excel, Teams, and Publisher
