Job Summary:
The Accounts Receivable Supervisor will be responsible for overseeing the day-to-day operations of accounts receivable, ensuring the accuracy and timeliness in customer invoicing, payment postings and customer reconciliations. The AR supervisor will manage a team and provide training along with identifying and implementing any process improvements, maintain policies and procedures and collaborate with various departments within the organization for seamless operations.
Key Responsibilities:
- Supervise and lead the AR Clerks in the following areas that include but are not limited to: customer set up (including ship tos), customer invoicing, cash application and issuance of credit memos.
- Create and maintain strong relationships with customers.
- Oversee the reconciliation of customer accounts, ensuring consistency and resolving discrepancies promptly.
- Be the main point of contact for escalations related to customer billing. Resolve in a timely manner to maintain customer satisfaction.
- Evaluate and streamline payment terms, customer contracts, and ensure that all relevant financial data is recorded accurately.
- Develop and implement policies and procedures for standardization and to improve efficiency and accuracy.
- Ensure compliance with internal controls, policies, and relevant regulatory requirements.
- Stay current with industry trends and best practices to continuously improve operational performance.
- Prepare and present regular reports on AR performance, including aging reports, DSO (Days Sales Outstanding in addition to other key performance indicators (KPIs) and trends.
- Collaborate with the finance team to support month-end and year-end closing processes and with the Sales team to resolve issues.
- Support the external audit process by providing necessary documentation and addressing auditor queries.
Qualifications:
- Bachelor’s degree (accounting, finance, or related field) is preferred.
- Certification in Accounts Receivable (Certified Accounts Receivable Professional CARP, etc.) also preferred
- Minimum of 5-10 years of experience in Accounts Receivable with a minimum of 3-5 years in a supervisory role.
- Leadership and team management skills. Proven ability to manage and develop teams in a high-volume, fast-paced environment.
- Strong knowledge in accounts receivable processes.
- Excellent analytical, organizational, communication and problem-solving abilities.
- Ability to work effectively across cross-functional teams and with management.
- Experience in managing process improvements and implementing automation tools in financial operations.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Must be authorized to work in the United States without sponsorship.
- Must be able to pass a pre-employment background check and drug test.
Preferred Qualifications:
· Exposure to Machinery, Industrial Supplies and Parts, Other Commercial Services Industry.
· Experience with Microsoft Dynamics, Business Central and process automation tools for AR software.
· Ability to influence decision-making and contribute to strategic financial planning.
· Expertise in time management, problem solving and handling inquiries and disputes in a professional manner.
