Bishop McNamara High School is a private, Catholic co-educational high school in the Holy Cross tradition, offering its students a challenging college preparatory curriculum and a complete range of athletics and activities. Bishop McNamara High School seeks a full-time Fine Arts Administrative Assistant for the 2025-2026 school year.
The Fine Arts Administrative Assistant is responsible for the oversight and coordination of day-to-day operations of the department during the school year, as well as preparations for the year during the summer. Responsibilities range from space coordination, calendar management, public relations, and administrative duties such as word processing and data entry.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Administrative Duties: Record keeping, meeting note-taking, data entry, word processing, document design (such as forms, flyers and performance playbills). Ability to proofread and edit for correct spelling and grammar usage is important. Applicants must be comfortable with Microsoft Office, Google Suite, as well as open to learning other software.
- Coordination of Logistics: Coordination of the schedules and food orders for students for all rehearsals, performances and other events (such as the 5K for the Arts), including logistics for facility reservations, security, janitorial needs and support staff.
- Accounting: Record-keeping of Fine Arts financial accounts, monitor income and bill payment, process Amazon orders. Assist with the 5K for the Arts fundraiser, research potential donors/grants, in consultation with the Fine Arts Director and Advancement Office.
- Fine Arts Marketing & Public Relations: Manage fine arts communications and share, as appropriate, with our Communications team.
- Volunteer & Event Staffing: Organize event volunteers as needed and communicate volunteer duties & BMHS procedures. Maintain Parent/Guardian Volunteer Hours Spreadsheet for the Fine Arts Department.
- Collaborate with the Fine Arts Faculty: Support students and departmental operations.

EDUCATION AND/OR EXPERIENCE:
- Bachelor’s Degree or commensurate field experience is encouraged.
- Knowledge and/or experience in the Arts or Arts Administration is highly desirable.
- Additional education or administrative experience is encouraged.
- Knowledge of Microsoft Office & Google Suite

ADDITIONAL APPLICANT QUALITIES: We are seeking a very organized and communicative individual with a love for the arts. The applicant must be tech savvy, be able to manage several projects at once, and have high standards for the final product. The applicant must be able to problem solve and utilize institutional hierarchy when appropriate. They should be comfortable working with students, faculty, patrons and donors, demonstrating a commanding presence when appropriate. The applicant should have a desire to focus on the process as well as the product.
Note: There will be required evening and weekend events from time to time, all events will be planned well in advance. Flexible time during a normal work week and off seasons is possible to offset the additional time required of this position.
