Job Description: Administrative Assistant
Position Summary: Under the direct supervision of the Business Manager, the Administrative Assistant is responsible for answering the main phone line and directing calls to the appropriate person or area. They must possess excellent customer service skills and phone etiquette. They will learn medical terminology and communicate with the Physician Owners to ensure transcribed operative reports are complete and accurate. They will learn the SIS Complete operating software to assist in answering patient inquiries and various other business office functions including posting payments and taking payments. They will screen and directs inquiries within the department and coordinate communications between the ASC and the clinics. They will serve as a backup to the Front Desk Receptionists and will assist the Business Manager with the Provider and Facility credentialing processes.
Qualifications:
1. High School Diploma required, Post-secondary education preferred
2. Computer literacy
3. Exhibits maturity and confidence in communication skills
4. Knowledge of medical terminology
5. Dependable attendance essential
6. Able to work independently with minimal direct supervision
7. Able to prioritize multiple tasks
8. Strong organizational skills
9. Excellent Customer Service Skills are a must
Physical
Requirements:
1. Able to lift 20#, without assistance
2. Physical movements include sitting, reaching, bending, stooping, standing and stretching
3. Visual acuity is required to view and read computer monitor
- Possesses manual dexterity sufficient to operate computer input devices, telephones and copy machine
Responsibilities:
I. Administrative
- Answers main phone line and directs calls to proper person or area
- Reviews transcribed Op reports for completeness and accuracy
- Works with Clinical Staff and Physicians to complete Op reports when necessary
- Ensures completed and signed Op reports are put in the electronic chart
- Understands various Business Office Functions and the SIS Complete software
- Works within the Waystar Clearinghouse Portal to access Remits for posting payments in SIS Complete to the appropriate accounts
- Able to process credit card payments and refunds via the Waystar Portal
- Able to assist and answer patient inquiries and understand insurance remittances
- Assist in the credentialing process
- Medical records release
- Medicare release
II. Receptionist Duties (in a backup role)
- Clerical Duties
- Enters and retrieves patient data via computer
- Prints and distributes surgery schedule to ASC and Clinics
- Schedules surgical procedures
- Maintains patient charts in electronic health record system and paper charts in medical record storage
- Types and processes department correspondence as needed
- Compiles statistical data when requested
- Sends and receives faxes
- Communicates and relays information to patient, family and appropriate ASC staff
III. Confidentiality
Maintains as confidential all observed or acquired information regarding the patient, the patient's history, surgical procedure, and perioperative experience. Regards inter-staff communication as confidential when advised.
- Miscellaneous
- Assists in the collection of data for quality assurance projects
- Participates in self-evaluation portion of performance appraisal
- Suggests practice and procedural improvements
- Transports specimens on stat basis
- Emergency response
- In the event of patient emergency, copies pertinent patient information and assists in documentation of resuscitation efforts
- In the event of department emergency, responds as protocol dictates and staff direct
- Participates in departmental staff meetings
- Participates in mandatory staff education, i.e.: infection control, emergency preparedness
- Knows where to locate and how to access information in OSHA , Employee P&P manual
