Position Overview
The Executive Personal Assistant will provide high-level administrative and operational support to the CEO, ensuring smooth daily operations and enabling them to focus on strategic initiatives. This in-person role requires exceptional organizational and time management skills, the ability to manage multiple priorities, and a proactive mindset. The ideal candidate will work independently while maintaining the highest levels of professionalism, integrity, and discretion.
Key ResponsibilitiesAdministrative:
- Heavy calendar and inbox management.
- Arrange and optimize travel schedules.
- Track team workflows, proactively following up with reminders and action items.
- Prepare agendas for meetings, document discussion points, and ensure key follow-ups are completed.
- Conduct in-depth research and compile findings into concise reports or databases.
- Attend meetings in place of the CEO as needed.
Operational:
- Track team KPIs and support the CEO in holding direct reports accountable.
- Manage the flow of information, ensuring the CEO has timely access to critical updates.
- Provide ad hoc support across various business areas, such as operations, onboarding and marketing.
Personal:
- Book travel, hotel & transportation.
- Schedule personal appointments and reservations.
- Manage household and vehicle appointments as needed.
- Perform regular shopping and grocery procurement.
- Receive and manage incoming deliveries, packages and returns.
Additional Requirements:
- Flexibility to handle both business and personal tasks seamlessly.
- Proven ability to adapt to changing priorities and demands while maintaining efficiency and effectiveness.
Qualifications:
- 2-3 years of experience as an Executive Assistant, Personal Assistant or Administrative Assistant required.
- Exceptional organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and work independently.
- Ability to thrive in a fast-paced, dynamic environment, effectively navigating ambiguity while applying strong critical thinking skills to solve complex problems.
- Proficiency with Slack, Dropbox, Notion, and G Suite preferred.
- High level of professionalism, integrity, and discretion.
- Strong technical proficiency.
